MUST:
Executive Assistant
5+ years of experience as an executive assistant in supporting project coordination, data management and calendars
2 -3 years of Data Entry in MS Excel, pivot tables, charts, etc.
Strong organizational and time-management skills, with a proactive approach to handling multiple priorities.
Advanced Excel skills required for effective data reporting
Excellent written and verbal communication skills, with an ability to build rapport across departments.
Master's degree preferred but not required.
DUTIES:
Serve as the point of contact for inquiries directed to the Chief Operating Officer (COO) from other departments/projects; gather information and provide key points to the COO.
Anticipate COO needs, proactively work to reduce the COOs administrative responsibilities.
At the direction of the COO, assist in tracking project timelines, key milestones, and deliverables to ensure smooth project progression.
Offer onboarding support to new hires by addressing policy-related questions and guiding them to key information resources.
Actively follow up on action items, provide updates to the COO and stakeholders.
Utilize advanced Excel skills to track data and prepare reports.
Organize, update, and maintain project-specific documentation.
Coordinate meetings, document key takeaways, and ensure smooth communication and engagement across departments and projects.
