Administrative/ Development Assistant
The Administrative/ Development Assistant will report to the Executive Director and will assist throughout the office when necessary. The Administrative/ Development Assistant will perform administrative duties related to Office functions, fundraising, marketing and public relations and will gain firsthand experience in frontline fundraising planning to increase the capacity of a small and growing non-profit organization. This role is entry level and will serve as the catalyst for a successful career in non-profit fundraising and relationship management for the right candidate.
The Executive Director works closely with the Administrative/ Development Assistant to establish and cultivate skills in the development field while accomplishing the administrative/development goals. Norristown Ministries Inc. is a volunteer driven organization and the Administrative/Development Assistant will work closely with the Development Committee and other volunteers.
- Answer inbound calls for staff and route appropriately to extension, voicemail, or convey messages
- Field, assess and complete general calls regarding information about the Hospitality Center
- Greet arriving clients and complete appropriate check-in procedures.
- Periodically check voicemail and return calls as needed.
- Maintain inventory and order/purchase office supplies; arrange for equipment maintenance;
- Process work orders for facilities repairs/needs
- Compose written communication and proofread documents for grammar, spelling, punctuation, and basic formatting;
- Serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures;
- Gather, assemble and format data to create simple reports;
- Maintain calendars and the ED Schedule, coordinate meetings, webinars, and conference calls in office and off-site.
- Able to multi-task and appropriately prioritize tasks independently while staying on schedule
- Demonstrate experience in handling confidential information and discretion in dealing with confidential information
- Has a strong work ethic and positive outlook
- Work effectively with co-workers, vendors and partners of the Hospitality Center
- Maintains accurate records; prepares reports and other correspondence
- Work effectively under stress and in urgent arising situations
- Assist the Executive Director in development related activities
- Coordinate .
- Ensure we are up to date with invoices being paid on time
- Order supplies

- Coordinate placing orders for office supplies, and other kitchen related needs in discussion with ED.
- Act as mailroom person in the event we do not have a mailroom volunteer.
- Assist Executive Director in the creation of the Annual Report.
- Other duties upon request.

- Knowledge of event management, processes, and available resources including social marketing and web-based strategies.
- Exceptional interpersonal skills: ability to interact effectively with community leaders, board members, corporate managers, prospects, donors, and a variety of volunteers.
- Must be able to coordinate multiple tasks and be open to new learning experiences.
- Ability to work independently with minimal supervision and as part of a team.
- Creativity, drive, enthusiasm and initiative to carry projects to conclusion.
- Strong knowledge Microsoft Office applications.
- Other duties upon request.
Skills and Qualifications:

- Strong knowledge Microsoft Office applications.
- Ability to learn Bloomerang/ Quickbooks online software preferred.
Hourly rate : $18-20/hr
