Responsibilities & Requirements:
The Administrative Assistant III provides direct administrative support for KH executive director and director-level leaders who have system-wide roles and their departments. Responsible for performing general reception, clerical, and scheduling tasks for the department, including filing, mailing, computer entry, and maintaining departmental files. Performs other duties as assigned.
Minimum Education
- High School Diploma or equivalent required
Minimum Work Experience
- 3-5 years’ clerical experience required

- Proficiency in essential Microsoft Office applications (e.g., Word, Excel, Outlook). Strong organization and time management skills. Ability to use the KH intranet and internet effectively and efficiently. Strong multitasking abilities with attention to detail. Accurate and pleasant written and verbal communication skills. Strong teamwork abilities. Maintains a calm and reassuring demeanor when interacting with others. Ability to use good judgment and discretion within defined parameters. Capability to work independently with some guidance. Adaptability and flexibility to varying tasks and situations. Openness to receiving feedback and learning opportunities.
Key Job Responsibilities
- Schedule meetings and maintain calendars, including proactively handling scheduling conflicts. Uses good judgment and discretion in screening and answering inquiries and in maintaining an appointment schedule. Works with confidential information, establish priorities, and meets deadlines. Manage daily office operations, including supply ordering and work orders. Handle requests for information in a timely and professional manner, including assisting with prioritizing requests and handling responses as appropriate. Handle meeting preparation including room arrangements and recording minutes. Track and monitor expenses including handling/preparing expense reports. Organizes and maintains file systems. Maintains knowledge of organizational and department policies and the judgment to apply those appropriately. Gathers, organizes, and presents data required for financial analyses, quality reports, and departmental staffing as determined by the Executive Director. May assist the Director with Time and Attendance. Travel to other KH sites may be needed.
- Associate degree preferred
- Previous experience supporting executive leaders preferred
