Job Description:
- The Administrative Assistant and Coordinator is a supportive force, and we are currently seeking someone exceptional to take this responsibility.
- The ideal candidate will be a problem solver who has excellent communication skills and attention for detail.
- The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to a variety of projects.
- An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
- The Admin Assistant will support office operations, maximize office productivity, implement timely and efficient workflows, and provide administrative and continuous improvement support to the organization. Makes recommendations for solutions.
- Works autonomously on assignments requiring judgment and initiative.
Essential Functions:
- Performs general administrative support tasks including scheduling and coordinating meetings, managing outlook calendars
- Prepares documents, spreadsheets, reports and presentations.
- Prepares meeting artifacts for internal and external meetings
- Creates and/or maintains appropriate logs, databases, inventories, filing (hard or soft copy), status reports/tracking.
- Takes and delivers messages, provide information to callers, distribute and route mail, packages and paperwork.
- Maximizes office productivity through proficient use of appropriate software applications.
- Other duties as assigned.
- We expect the candidate to be detail oriented and maintain accurate records of service requests, including customer details and request status.
- You shall review and prioritize service requests based on urgency and available resources.
- We expect the candidate to provide regular updates to customers regarding the status of their service requests.
- You will assist in troubleshooting and resolving any issues or concerns raised by customers.
- We expect the candidate to collaborate with other departments to address customer inquiries and resolve service-related issues.
Requirements:
- Must be a US Citizen
- Must be able to pass drug screen and security background check
- High School diploma with a goal for acquiring an associate's degree
- The candidate must have excellent communication skills to effectively coordinate and collaborate with internal and external teams, and customers.
- We expect the candidate to possess strong organizational skills in order to manage a high volume of service requests, prioritize tasks, and meet deadlines consistently.
- The candidate should be proficient in using Microsoft Office 365 products including Outlook, Teams, Word and Excel.
- The candidate must be adaptable and able to handle multiple projects simultaneously while maintaining accuracy and attention to detail.
