Job Summary:
The Accounts Receivable Specialist will manage all aspects of the accounts receivable process, ensuring timely and accurate invoicing, payment posting, and reconciliation. This role will interact with customers and internal teams to resolve billing issues and support the financial health of the organization.
Key Responsibilities:
- Prepare and send customer invoices promptly and accurately.
- Process credit card payments, ACH payments, and checks efficiently and securely.
- Perform data entry for invoices, payments, and other AR-related records, including a significant amount of repetitive or "grunt" work.
- Monitor accounts to identify outstanding invoices and ensure timely collection of payments.
- Make collection calls and follow up with customers on overdue accounts.
- Post and reconcile customer payments, including checks, ACH, wire transfers, and credit card transactions.
- Collaborate with the sales and customer service teams to address billing and credit-related issues.
- Assist with establishing and monitoring customer credit limits in accordance with company policies.
- Maintain accurate and organized records of customer accounts, invoices, and payment histories.
- Prepare monthly AR reports and provide updates to management on collection efforts and outstanding balances.
- Support the month-end close process by reconciling AR-related accounts.
- Assist with audits by providing required documentation and answering inquiries related to accounts receivable.
Qualifications:
- Associate or Bachelor’s degree in Accounting, Finance, or a related field (or equivalent work experience).
- Minimum of 3 years of experience in accounts receivable or a related role, preferably in a distribution or logistics environment.
- Proficiency in QuickBooks and NetSuite accounting software.
- Strong understanding of accounts receivable processes and collections practices.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills, with the ability to handle customer inquiries professionally.
- Proficiency in Microsoft Excel (pivot tables, VLOOKUPs) and other office applications.
