About the Job
We are seeking a detail-oriented and reliable Accounts Payable Staff to join our accounting team. The ideal candidate will be responsible for managing the organization's payables, ensuring accurate and timely processing of invoices, and maintaining positive relationships with vendors and internal stakeholders. This position offers the opportunity to work in a dynamic and fast-paced environment and contribute to the efficient functioning of our financial operations.
This is a hybrid position requiring 2 days per week in our corporate headquarters located in Cambridge, MA
What you'll do:
- Invoice Processing: Receive, verify, and process vendor invoices, ensuring they are accurate, authorized, and compliant with company policies.
- Payment Processing: Prepare and process accounts payable transactions, ensuring timely payment to vendors, including checks, electronic transfers, and other methods as required.
- Reconciliation: Perform regular reconciliations of accounts payable transactions and accrued expenses to ensure accuracy, and resolve any discrepancies.
- Vendor Relations: Maintain good relationships with vendors, answering inquiries, resolving payment issues, and addressing discrepancies.
- General Ledger Entries: Assist with posting accounts payable transactions and accrued expenses to the general ledger and assist with month-end closing procedures.
- Documentation: Maintain organized records of all transactions, invoices, and payment schedules for audit and compliance purposes.
- Compliance: Ensure that accounts payable activities comply with company policies and relevant accounting standards.
- Reporting: Assist with the preparation of accounts payable reports, aging reports, and cash flow projections as required by management.
- Other Duties: Assist with ad-hoc tasks and projects as needed, including assisting with audits and providing support to the finance team.
Who you are:
- Bachelor's degree in Accounting, Finance, or related field preferred
- Minimum 1-2 years of experience in accounts payable or related accounting functions
- Proficient in Microsoft Excel (VLOOKUP, PivotTables, etc)
- Experience with accounting software (e.g., NetSuite, Oracle, or similar)
- Basic understanding of accounting principles and practices
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to communicate effectively with vendors and internal teams
- Ability to handle multiple tasks and prioritize effectively
- Experience with ERP systems
- Knowledge of tax compliance issues related to accounts payable (e.g., 1099 reporting)
- Prior experience in a high-volume accounts payable environment
