Job Summary:

The Accounts Payable (AP) Clerk is responsible for managing the day-to-day processing of vendor invoices, ensuring timely and accurate payment of company liabilities. This role involves maintaining strong communication with vendors and internal departments, handling discrepancies, and adhering to the company’s financial policies and procedures. The ideal candidate is detail-oriented, organized, and capable of handling a high volume of transactions in a fast-paced environment.

Key Responsibilities:

• Invoice Processing:
  • Review and verify invoices for appropriate documentation and approval.
  • Accurately code and enter invoices into the accounting system.
  • Match invoices to purchase orders and receipts.
• Payment Processing:
  • Prepare and process electronic transfers and payments.
  • Issue checks for payments and ensure they are distributed or mailed in a timely manner.
  • Maintain accurate records of all payments, both manual and electronic.
• Vendor Relations:
  • Communicate with vendors to resolve invoice discrepancies, payment issues, or inquiries.
  • Monitor and respond to vendor account statements and inquiries.
• Reconciliation:
  • Reconcile accounts payable transactions.
  • Assist in month-end closing by preparing AP reports and supporting documentation.
  • Maintain the general ledger for AP-related transactions.
• Compliance:
  • Ensure all AP transactions comply with financial policies and procedures.
  • Assist with audits by providing supporting documentation as required.
• Record Keeping:
  • Maintain organized and accurate records of all AP activities and transactions.
  • Ensure proper documentation is stored for tax and audit purposes.

Qualifications:

• Education:
  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is a plus.
• Experience:
  • 1-3 years of experience in an accounts payable or accounting role.
  • Experience with accounting software (e.g., QuickBooks, SAP, Oracle) is preferred.
• Skills:
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of basic accounting principles.
