Job Summary: The Accounts Payable Specialist is responsible for managing and processing the company’s accounts payable transactions accurately and efficiently. The ideal candidate will have experience in a similar role within the homebuilding industry and familiarity with Newstar ERP software. This position requires a high level of attention to detail, strong organizational skills, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities:

• Invoice Processing: Receive, review, and process vendor invoices for materials, subcontractors, and services related to homebuilding projects.
• Data Entry: Accurately enter invoice details into the accounting system, ensuring proper coding to job costs and general ledger accounts.
• Vendor Relations: Maintain positive relationships with vendors and subcontractors. Address and resolve any invoice discrepancies or issues in a timely manner.
• Payment Processing: Prepare and process check runs, ACH payments, and wire transfers. Ensure all payments are made in accordance with company policies and procedures.
• Expense Reports: Review and process employee expense reports, ensuring compliance with company policies.
• Reconciliation: Reconcile accounts payable transactions and vendor statements to ensure accuracy and completeness.
• Documentation: Maintain organized and up-to-date records of all accounts payable transactions, including invoices, payment confirmations, and correspondence.
• Reporting: Assist in month-end and year-end closing processes by preparing accounts payable reports and supporting documentation.
• Compliance: Ensure all accounts payable activities comply with company policies, internal controls, and regulatory requirements.
• ERP System: Utilize Newstar ERP software to manage and track accounts payable transactions. Provide recommendations for system improvements and efficiencies.
• Team Collaboration: Work closely with the accounting team, project managers, and other departments to support overall financial operations.

Qualifications:

• Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
• Experience: Minimum of 2+ years of accounts payable experience, preferably in the homebuilding or construction industry.
• ERP Systems: Experience with Newstar ERP software is a plus.
• Skills:
• Strong proficiency in Microsoft Office Suite, particularly Excel.
• Excellent attention to detail and organizational skills.
• Ability to prioritize tasks and meet deadlines in a fast-paced environment.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Knowledge: Understanding of accounting principles, job costing, and accounts payable processes.

Working Conditions:

• Environment: Office environment with occasional site visits as needed.
• Hours: Full-time position, Monday through Friday.
