Job Summary: The Accounts Payable Specialist is responsible for managing and processing the company’s accounts payable transactions accurately and efficiently. The ideal candidate will have experience in a similar role within the homebuilding industry and familiarity with Newstar ERP software. This position requires a high level of attention to detail, strong organizational skills, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
- Invoice Processing: Receive, review, and process vendor invoices for materials, subcontractors, and services related to homebuilding projects.
- Data Entry: Accurately enter invoice details into the accounting system, ensuring proper coding to job costs and general ledger accounts.
- Vendor Relations: Maintain positive relationships with vendors and subcontractors. Address and resolve any invoice discrepancies or issues in a timely manner.
- Payment Processing: Prepare and process check runs, ACH payments, and wire transfers. Ensure all payments are made in accordance with company policies and procedures.
- Expense Reports: Review and process employee expense reports, ensuring compliance with company policies.
- Reconciliation: Reconcile accounts payable transactions and vendor statements to ensure accuracy and completeness.
- Documentation: Maintain organized and up-to-date records of all accounts payable transactions, including invoices, payment confirmations, and correspondence.
- Reporting: Assist in month-end and year-end closing processes by preparing accounts payable reports and supporting documentation.
- Compliance: Ensure all accounts payable activities comply with company policies, internal controls, and regulatory requirements.
- ERP System: Utilize Newstar ERP software to manage and track accounts payable transactions. Provide recommendations for system improvements and efficiencies.
- Team Collaboration: Work closely with the accounting team, project managers, and other departments to support overall financial operations.
Qualifications:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Experience: Minimum of 2+ years of accounts payable experience, preferably in the homebuilding or construction industry.
- ERP Systems: Experience with Newstar ERP software is a plus.
- Skills:
- Strong proficiency in Microsoft Office Suite, particularly Excel.
- Excellent attention to detail and organizational skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Knowledge: Understanding of accounting principles, job costing, and accounts payable processes.
Working Conditions:
- Environment: Office environment with occasional site visits as needed.
- Hours: Full-time position, Monday through Friday.
