Job Details

Position Summary:
We are seeking a meticulous and dynamic Accounts Payable Specialist to join our accounting team. The ideal candidate will be adept at managing all aspects of the accounts payable process within the construction industry. Reporting directly to the Accounting Manager, this role is pivotal in maintaining our financial health and ensuring the seamless operation of our projects.

Key Responsibilities:

Process and verify incoming invoices related to construction projects, ensuring accuracy, approvals, and compliance with financial policies and procedures.
Maintain and update vendor information, including new client integration into our systems, ensuring accuracy and compliance.
Handle construction-specific financial transactions, such as lien waivers and certificates, to secure payments and mitigate risks.
Collaborate with project managers and vendors to resolve discrepancies and ensure timely payments.
Prepare financial reports related to accounts payable for internal use and compliance purposes.
Manage the accounts payable ledger, ensuring all transactions are recorded accurately and promptly.
Manage Pre-Check Register/Check Runs for Review & Approval
Assist in month-end closing procedures and audits related to accounts payable.
Perform ad hoc tasks related to the accounts payable function as required by the Accounting Manager.

Preferred Qualifications:

Proven experience as an Accounts Payable Specialist, ideally within the construction industry.
Familiarity with construction accounting software, particularly Foundation, is highly preferred.
Knowledge of construction financial documents, including lien waivers, AIA forms and certificates.
Strong understanding of accounting principles and financial reporting.
Exceptional organizational skills and attention to detail.
Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of the organization.
Ability to work independently and as part of a team in a fast-paced and high-volume environment.
Proficiency in Microsoft Office Suite, particularly Excel.

Education:

A bachelor’s or associate's degree in accounting, finance, or a related field or equivalent work experience is preferred.
