Position Summary:
The Accounts Payable (AP) Manager at Worldpac is responsible for overseeing the accounts payable function, ensuring accurate and timely processing of vendor invoices, payments, and expense reports. This role is pivotal in maintaining strong vendor relationships, optimizing AP processes, and ensuring compliance with internal policies and regulatory requirements. The AP Manager will lead a team, implement process improvements, and support the financial operations of the organization. Additionally, managing supply chain financing related to vendors, in collaboration with the Treasury and Accounting teams, as well as understanding the IBS (A400) feed into Oracle and managing the reconciliation between the two systems, will be key responsibilities.
Responsibilities:- Accounts Payable Operations:
- Initial Task: Lead the hiring process and establish the accounts payable department within 6 months before TSA completes, ensuring all roles are filled and systems are fully set up. Be actively involved in testing Oracle systems and processes as Worldpac’s AP function transitions to operate independently, ensuring that the department can successfully function with minimum external support post-TSA.
- Oversee the day-to-day operations of the accounts payable team to ensure timely and accurate processing of invoices and payments.
- Manage payment runs, including checks, ACH, and wire transfers, while ensuring proper authorization and adherence to company policies.
- Manage supply chain financing activities related to vendor payments, in coordination with the Treasury and Accounting teams.
- Work with vendors and internal teams to optimize cash flow and financing terms.
- Oversee the understanding and management of the IBS (A400) feed into Oracle, ensuring accurate accuracy between systems.
- Lead efforts in reconciling data between IBS (A400) and Oracle to ensure consistency and accuracy in accounts payable records.
- Address and resolve discrepancies, vendor inquiries, and payment issues promptly.
- Team Leadership:
- Lead, mentor, and develop a team of accounts payable professionals.
- Set performance goals, provide regular feedback, and conduct performance evaluations.
- Foster a collaborative and efficient team environment focused on continuous improvement.
- Process Improvement:
- Identify and implement opportunities to enhance accounts payable processes, workflows, and systems.
- Collaborate with IT and finance teams to integrate and optimize Oracle ERP systems and IBS for AP automation.
- Develop and maintain detailed documentation for AP processes and procedures.
- Compliance and Internal Controls:
- Ensure compliance with company policies, regulatory requirements, and accounting standards.
- Maintain robust internal controls over accounts payable to prevent fraud and errors.
- Support internal and external audits by providing required documentation and information.
- Vendor Relationship Management:
- Build and maintain strong relationships with vendors, ensuring clear communication and timely resolution of payment issues.
- Monitor vendor terms and negotiate favorable agreements to optimize cash flow.
- Reporting and Analysis:
- Prepare and analyze accounts payable metrics, aging reports, and cash disbursement forecasts.
- Provide insights and recommendations to management to improve financial operations.
- Support month-end and year-end close processes as needed.
Qualifications:
- Education & Experience: A bachelor’s degree in Accounting, Finance, or a related field, with at least 5 years of AP experience, including 2 years in a management role.
- Skills: Proficiency in ERP systems (like SAP, Oracle), advanced Excel skills, strong organizational and problem-solving abilities, and a track record of developing high-performing teams.
- Industry Experience: While not required, experience in the automotive or retail industry could be a plus.
- Technical Understanding: Strong understanding of system integrations, particularly IBS (A400) and Oracle, with the ability to manage data reconciliation between the two systems effectively.
- Leadership and Transition Experience: Proven ability to build, hire, and set up an AP department from the ground up, and experience in managing system and process testing during transitional phases.
