POSITION SUMMARY:

Reporting to the Manager of Accounts Payable and working under direct supervision this position performs a variety of functions including but not limited to: invoice input, vendor analysis, research for vendors and hospital staff. 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

1. Compares invoices, purchase orders and receivers to verify expenditures to the vendors.  Processes check requests, expense reports, patient and insurance refunds with appropriate signatures.
2. Researches variance items that do not match invoices to purchase orders.
3. Balances weekly check runs and period end to ensure accuracy.  Advises the manager of discrepancies.
4. Voids incorrect checks and reprocesses invoices for payment. 
5. Calculates discounts and routes invoices that do not meet the Accounts Payable requirements.  Prepares invoices and check requests for processing. 
6. Verifies computer checks with invoices before releasing them to the vendor. Identifies incorrect checks and resubmits invoices for payment.
7. Answers the telephone, mail inquiries and employee/leader walk-in inquiries in regards to payment of invoices. 
8. Reviews monthly vendor statements on unpaid invoices and compares them with the hospital files and follows up to ensure that payments are made where appropriate.  Checks credit balances and request refunds on credit balances.
9. Performs miscellaneous duties to assist the manager in the way of spreadsheet analysis and research, sorting mail and so forth.
10. Conforms to the established Standards of Behavior.
11. Other duties as assigned.

 JOB SPECIFICATIONS:

• Five (5) years of experience in Accounts Payable is required in order to adequately understand   the Accounts Payable Clerk II function and acquire the skills necessary to perform the duties and responsibilities of the position. One (1) to three (3) months of the above experience should be on-the-job training in order to learn hospital policies, procedures and forms.
• The analytical ability necessary to detect and correct errors and prepare reports with personal computer spreadsheets and word processing software.  Previous experience in Microsoft Excel and Word highly desirable.
• Ability to operate a computer in order to access the hospital’s Accounts Payable system and to perform duties as assigned.  Previous experience with Siemens MS4 system highly desirable.
• Ability to perform basic arithmetic calculations quickly and accurately.  Reconcile check runs and accurately check invoices, purchase order and receivers. 
• The interpersonal verbal and written communication skills necessary to communicate with all levels of hospital personnel concerning accounts payable policies/procedures and to investigate discrepancies or other errors.
• Must also be able to operate a variety of general office equipment including but not limited to, a computer, calculator, printer and check stuffer/folder.
