About the Job
This position reports to the Corporate Controller. In this role the Accounts Payable Associate will support the Accounting Department by performing the duties outlined below.
Essential Responsibilities: include, but are not limited to the following:
- Receiving, sorting, processing, and entering all Accounts Payable.
- Tracking and Reconciling contract costs against invoices.
- Reviewing and Reconciling Expenses: monthly credit cards and supplier statements.
- Working with Sub-contractors to ensure insurance compliance and timely invoices.
- Resolving discrepancies, billing issues and exceptions.
- Onboarding new AP vendors.
- Maintaining W9’s and Certificates of Insurance.
- Assisting with mailing of vendor payments.
- Maintaining vendor payment/contract files.
- Will work closely with Project Managers and Assistant Project Managers
- Must have excellent verbal / written communication skills.
- Must be proficient in Microsoft office products.
- Must have strong organizational skills.
- Exhibit leadership commitment to a safe workplace or worksite.
- Maintain applicable construction and general industry safety trainings and certifications as determined by position.
Qualifications and Other Skills and Abilities:
- Minimum of 2 years AP experience.
- Must have excellent verbal / written communication skills.
- Must have strong organizational skills.
- Construction accounting experience is a plus.
- Familiarity with AIA invoice experience a plus.
- Vista or Foundations Software experience a plus.
- Construction background and experience preferred.
Essential Physical Requirements and Working Conditions:
- Ability to sit or stand in a stationary position for approximately seventy-five (75%) percent of a workday.
- Ability to bend and lift 30 lbs.
- Optional visits to jobsites require limited exposure to an environment which may include fumes, odors, chemicals, sawdust, and ash.
