About the Job
Position Summary: The Accounts Payable Clerk is responsible for providing administrative support, including but not limited to reviewing and processing all incoming invoices and internal check requests received for payment(s) and preparing checks for vendors/department heads.
Essential Functions
+ Receives invoices and distributes them to the appropriate department(s) for proper authorizations and approvals.
+ Checks the accuracy of invoice totals and invoice contents against purchase orders.
+ I'd like to point out that contacts vendors in case of any discrepancies between the invoice and the purchase order.
+ Completes voucher form and enters voucher information into the Oracle System for each transaction.
+ Coordinates the vouchering and filing processes with the assistance of the Accounting and Cash Receipts clerks, including; printout of all vouchers due to be paid by a given date.
+ Prints checks and matches invoices to ensure correct payments.
+ Obtains approval and the required signature(s) on each check prior to paying invoices.
+ Mails all checks with the proper documentation and follows proper payment procedures for each vendor.
+ Responds to staff and vendor inquiries concerning the payment status of invoices.
+ Maintains vendor files on the Oracle Accounting System in accordance with departmental procedures entering changes, additions, and deletions.
+ Checks all open (unpaid) vouchers monthly and closes out Accounts Payable on the Oracle system at the end of the month.
+ Prepares accounts payable adjusting entries and accruals on a monthly basis.
+ Maintains regular attendance and punctuality.
+ Perform other related duties as assigned.
Education and Experience: •
+ High School Diploma or equivalent.
+ Four (4) years prior experience in all aspects of accounts payable are required plus knowledge of computerized accounts payable systems (preferably Oracle).
Knowledge, Skills, and Abilities:
+ Knowledge of and ability to follow Agency and department policies and procedures.
+ Good organizational skills. • Good interpersonal skills both face-to-face and on the telephone.
+ Ability to produce accurate work and attention to detail.
+ Ability to persevere in order to reconcile an accounting-related problem.
+ Good alpha and numeric skills are a must.
+ Ability to handle cash and cash transactions and maintain security.
+ Ability to work independently without constant supervision.
+ Ability to handle repetitious work, i.e. recurring cycle of work.
+ Knowledge of and ability to use a computer and work in a Windows software environment; using Microsoft Word, Excel, and the Oracle System.
