Position Description: Accounts Payable Analyst
Working as part of a small accounting team, this role will be responsible for receiving and posting invoices, PO matching, preparing payment files, and responding to inquiries from suppliers. They will also assist with office administration activities. The ideal candidate will have good knowledge of payables’ processes, persistence for resolving issues and awareness and adaptability as well as experience with the most recent Microsoft 365 Dynamics versions.
Responsibilities:
- Timely processing of vendor invoices through manual entry and three-way matching
- Upkeep of vendor master data and support information
- Maintain regular payment registers
- Maintain standard accounting distribution schedules
- Monthly reconciliation of AP ledgers
- Investigate erroneous posting
- Communication with vendors on outstanding balances or issues
- Prepare weekly payment proposals for issuance
- Continual consideration of AP processes and opportunities for improvement
- Appropriate filing of documentation
- Ensure office supplies are available and coordinate with building management
- Assist with travel and expense reports and support team meetings
- Notarize documents
Requirements:
- 5+ years’ experience in full accounts payable
- Good experience in MS Office (particularly Excel, Word, and Outlook)
- Preferred recent experience with Microsoft Dynamics 365
- Good understanding of the extended impact of accounts payable
- Strong attention to detail and procedure with good organizational skills
- Strong and appropriate verbal and written communication skills
- Certified notary public
Working Conditions:
This position operates in a professional office environment. Ideal candidates will be in the office on-site at least 3 days per week with remote work permitted at the discretion of the individual’s supervisor.
Company standard working days are Monday through Friday, some additional evening and weekend hours should be expected. This position routinely uses standard office equipment such as computers, phones, printers, etc. Some travel may be required.
