Accounting Support Administrator - PKS Paving

PKS Paving is seeking an organized and detail-oriented Administrative Support professional with accounting expertise to join our team. This role will provide essential administrative assistance while managing core accounting functions such as Accounts Payable (AP) and Accounts Receivable (AR). The ideal candidate will have strong multitasking abilities, excellent communication skills, and a solid understanding of basic accounting principles.

Note: This position is 100% onsite, Monday - Friday.

Key Responsibilities:

Administrative Support:

1. Manage office supplies and inventory, ensuring that the workplace runs smoothly.
2. Answer phone calls, emails, and other correspondence, redirecting inquiries as necessary.
3. Maintain accurate records, files, and databases in a timely manner.
4. Assist in scheduling meetings, coordinating appointments, and arranging travel logistics.
5. Prepare and format reports, presentations, and other documents as needed.
6. Perform general office tasks such as photocopying, scanning, and data entry.

Accounting Functions:

1. Accounts Payable: Process and manage incoming invoices from vendors, ensuring proper coding, approval, and timely payment.
2. Reconcile vendor statements, resolve discrepancies, and maintain positive vendor relationships.
3. Prepare and submit payment runs in accordance with the company's payment schedule.
4. Accounts Receivable: Generate and send out customer invoices, track payments, and maintain accurate records of outstanding balances.
5. Follow up with clients on overdue invoices and resolve billing issues in a professional and timely manner.
6. Perform regular AR reconciliations to ensure accounts are up-to-date.

Additional Duties:

1. Assist with month-end and year-end closing processes, including preparing reports and summaries.
2. Support the Finance team with ad-hoc tasks and projects as needed.
3. Maintain confidentiality and ensure that all financial transactions are processed accurately and securely.

Qualifications:

1. Proven experience in administrative support and basic accounting functions.
2. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
3. Familiarity with accounting software (e.g., QuickBooks, Xero) is preferred.
4. Strong organizational skills with the ability to manage multiple tasks and deadlines.
5. Excellent attention to detail and problem-solving skills.
6. Strong verbal and written communication skills.
7. Ability to work both independently and as part of a team.
8. High school diploma required; additional education in accounting or related field is a plus.
