Agency Description
Founded on the principles of justice and advocacy, Amigos de Guadalupe Center for Justice and Empowerment partners with the Si Se Puede Collective and local agencies to make social services more accessible to the Mayfair Community; to strengthen individuals and the community through education; and to address social inequities by creating strong leaders through community organizing.
Overview of Position:
Reporting to the Finance and Accounting Manager, this position conducts grant and contract invoicing, accounting duties, manages payroll, and supervises W9 vendors (1099s). Works closely with the finance and accounting team members, the CFO, and Program Managers.
Essential Functions, include but are not limited to:
Invoicing
Utilizing fund accounting processes, accurately records the expenses and payroll to the fund on a spend down or reimbursement process as necessary. Prepares grant and contract invoices and documents in an accurate and timely manner in accordance with deadlines. Maintain relationships with all associated funding partners and program managers. Sends, secures, and saves invoices and backup documents in accordance with accounting policies. Attention to detail with an expected 98% accuracy.
Payroll and W9 Vendors
Oversees the processing of payroll accurately and on a timely basis. This includes the proper documentation of hours to programs/funds, employee taxes and employer retirement distribution. Collaborates with HR to ensure accuracy. Trains payroll backup accountant. Responsible for supervising the distribution of 1099’s.
Accounting
Assist, as needed, in the timely reconciliation of all financial statements and all other accounting statements requiring reconciliation. Maintains accounts payable, processes vendor invoices and prepares checks for signature and distribution. Maintains account receivable, including invoicing as necessary. Assists the tracking and monitoring donations and issuing year-end donation letters. Acts as a backup to the Finance and Accounting Manager. Assists the Accountant(s) by providing training and guidance. Oversee the backup of documentation for invoices and accounting. Oversees the monthly reconciliation of all petty cash and fees.
General/Reports
Prepares financial reports as needed for the annual audit, tax returns, financial reports, payroll reports, special analyses, and informational reports. Assist CFO in special reporting needs.
Miscellaneous
Provide ad hoc reports to managers/directors/ED/CFO as requested. Other duties as assigned.
Requirements (must have)
- Finance/Accounting or similar degree, 1 year as an accountant/bookkeeper and 1 year responsible for payroll.
- Experience with Microsoft programs (Excel, Word), Google programs and Acrobat.
- Knowledge of government contracts, guidelines, and regulations for fund accounting.
- Payroll experience.
- Valid California Driver’s License.
- Ability to work in the US without an H-1B Visa.
- Finger printing with the DOJ to be paid for by Amigos.
- Must be up-to-date on COVID vaccinations.
- Must be adaptable to new accounting process and programs as changes occur.
- Ability to work various hours including nights and weekends.
- Ability to work in a fast-paced, deadline-oriented environment.
Preferred (nice to have)
- Experience working with Aplos, Gusto, and Click Time.
- Accounting/Bookkeeper Certificate
- Bilingual in English and Spanish (write and spoken).
