Accounting Clerk
Job Summary:
The Accounting Clerk is responsible for supporting the finance and accounting department by performing a variety of accounting and clerical tasks. The role includes handling financial transactions, maintaining accurate records, and ensuring that all accounting processes are in compliance with company policies and regulations. This position requires attention to detail, organization, and the ability to work in a fast-paced environment.
Key Responsibilities:
Accounts Payable & Receivable:**
- Process and record vendor invoices, ensuring proper approval and timely payment.
- Reconcile accounts payable and accounts receivable ledgers.
- Monitor and follow up on overdue customer payments, ensuring collection efforts are timely and accurate.
- Prepare and maintain aging reports for both accounts payable and accounts receivable.
- Assist with the preparation of payment runs, including checks, ACH transfers, and wire payments.
General Ledger & Journal Entries:**
- Post daily financial transactions (debits and credits) to the general ledger system.
- Assist with monthly, quarterly, and year-end closing procedures.
- Review and reconcile bank statements, credit card statements, and cash accounts.
- Prepare and post journal entries related to accrued expenses, prepaid expenses, and other general ledger adjustments.
Financial Reporting:**
- Assist in preparing monthly financial reports, including profit and loss statements, balance sheets, and cash flow reports.
- Compile and verify financial data for management review and audit purposes.
- Prepare supporting schedules for financial statement preparation.
Data Entry & Record Keeping:**
- Accurately enter financial data into accounting software, ensuring data integrity and completeness.
- Maintain organized filing systems for accounting records, invoices, receipts, and financial documents.
- Ensure all records comply with company policies and legal regulations for financial documentation.
Bank Reconciliation:**
- Perform regular reconciliation of bank accounts to ensure accuracy and consistency with company records.
- Investigate and resolve discrepancies between bank statements and company accounts.
Audit Support:**
- Assist in preparing for internal and external audits, providing requested documentation and financial data.
- Implement recommended improvements to accounting processes and controls to improve accuracy and efficiency.
Expense Reporting:**
- Process employee expense reports and ensure compliance with company policies.
- Track and report on corporate credit card expenses, verifying that all charges are legitimate and within budget.
- **Payroll Assistance (if applicable):**
- Assist with payroll processing by ensuring accurate timesheets, pay rates, and deduc
