About the Job
The Accounting Assistant a multi-faceted role that is highly interactive within the accounting department. The Accounting Assistant will perform a core role of responsibility but will be cross trained in multiple disciplines to provide additional added value to the accounting team. The Accounting Assistant will work with multiple teams regularly to achieve daily, weekly, and monthly goals as defined by the team, leaders, and business. It is expected that the Accounting Assistant operate as a shared resource amongst multiple teams and divisions as a standard practice.
The Accounting Assistant will receive direction from multiple leaders within the organization on a regular basis. It is critical that the Accounting Assistant has an innate ability to be highly functional within multiple teams simultaneously.
Responsibilities:
WHAT YOU'LL DO:
Accounts Receivable:
- Process, review and audit AR invoices and supporting correspondence to ensure accuracy in QuickBooks and TMW system
- Research and resolve all inquiries regarding accounts receivable
- Handle and manage collections and AR aging report
- Enter all client payments and deposits in QuickBooks (checks, ACH, credit card, 3rd party payments)
- Maintain and manage client files in QuickBooks, TMW system, and Client Folders
- Assist and support with miscellaneous ad-hoc projects/requests
- Backup phone coverage
Accounts Payable:
- Process, review and audit AP invoices and supporting correspondence to ensure accuracy in QuickBooks and TMW system
- Research and resolve all inquiries regarding accounts payable
- Enter and manage receipts for 60+ company credit cards
- Maintain and manage vendor files in QuickBooks and TMW system
- Assist and support with miscellaneous ad-hoc projects/requests
- Backup phone coverage
Administrative Assistant:
- Answer and manage incoming phone calls and front desk traffic
- Process, review and audit AR invoices and supporting correspondence to ensure accuracy for mailing and emailing clients
- Scan, rename, and file AR and AP invoices and supporting correspondence
- Ensure tasks and assignments are executed and meet all company requirements while ensuring client defined service levels are maintained and regularly exceeded.
- Assist and support with miscellaneous ad-hoc projects/requests
Purchase Order:
- Process and manage client and 3rd party purchase orders for AR invoices
- Follow each 3rd party vendors procedures to open, update and close invoices for the timely submission of payment
- Research and resolve all inquiries relating to client and 3rd party purchase orders
- Maintain and manage 3rd party and client purchase orders in all systems
- Ensure tasks and assignments are executed and meet all company requirements while ensuring client and 3rd party defined service levels are maintained and regularly exceeded.
- Assist and support with miscellaneous ad-hoc projects/requests
- Backup phone coverage

- Familiarity within the transportation, Logistics and/or maintenance fields
- Ability to articulate and manage multiple assignments
- Able to prioritize quickly changing requirements regularly
- Ability to work a variety of tasks simultaneously to ensure all requirements are completed in a timely manner
- Ability to present to large groups in a confident manner
Requires the following skills:
- Advanced skills with computer applications (Microsoft Word, Outlook, Excel, etc.)
- Must be able to multi-task while ensuring follow up and execution of required tasks
- High degree of organization and ability to work effectively in a fast-paced environment
- Must be a high energy individual with a strong work ethic and desire to succeed
