We are seeking an adept Accounting Support Specialist. In this role, you will play a crucial part in maintaining the integrity of our financial operations. You will be responsible for a range of essential tasks encompassing accounts payable, accounts receivable, credit card processing, timecard analysis, insurance communications, vendor file management, and general financial administration. Reporting Line: Reports to the Controller
Key Responsibilities:
- Process accounts payable tasks, encompassing vendor invoice handling, payment verification, and reconciliations.
- Manage accounts receivable transactions, including invoicing, payment application, and follow-ups on collections.
- Analyze timesheets to ensure accuracy and adherence to company policies and labor regulations.
- Handle credit card statement processing, validating charges, assigning expenses, and reconciling discrepancies.
- Utilize the internal system for accounting tasks linked to quote approval.
- Maintain precise and current financial records, incorporating data entry and documentation management.
- Collaborate with internal teams and external stakeholders to resolve accounting-related queries and discrepancies.
- Keep vendor and customer databases updated with W-9s, tax-exempt certificates, and insurance documents.
- Serve as the primary receptionist, managing phone calls, greeting visitors, and overseeing incoming correspondence.
- Supervise office equipment, ensuring proper operation and maintenance.
- Procure office supplies and non-inventory items as necessary.
- Perform additional duties as assigned by the Controller.
Requirements & Qualifications:
- A minimum of 2 years of business operations experience.
- Bachelor's degree or Associate's degree paired with relevant business experience.
- Preferred experience in a similar accounting support capacity.
Skills, Knowledge, and Abilities:
- Sound grasp of accounting principles and procedures.
- Proficiency in using accounting software and tools, including Excel and ERP systems.
- Meticulous attention to detail and accuracy in financial analysis and data entry.
- Strong analytical and problem-solving abilities.
- Capability to work autonomously and as part of a team, managing multiple tasks concurrently.
- Discretion in handling confidential financial information.
- Excellent verbal and written communication skills.
- Thrives in a fast-paced, detail-oriented environment.
- Exceptional organizational, prioritization, and time management skills.
Performance Metrics:
- Accuracy and currency of vendor records.
- Timely completion of time bill processing for payroll.
- Distribution of customer statements in the first week of each month.
- Professional conduct in interactions with customers, colleagues, and managers.
- Consistent punctual attendance within allowable PTO limits.
