SUMMARY OF POSITION: The Landscape Maintenance Account Manager must be thoroughly familiar with and able to perform all aspects of landscape (planting), hardscape, and irrigation (LMA) This would include estimating, production, scheduling, customer service, training, and ordering materials. The LCM directly oversees the Crew Leaders and the installation of landscape, hardscape, and irrigation projects daily while interfacing with clients, subcontractors, and suppliers. The LMA is responsible for recruiting, train, managing, and motivating the Landscape Construction teams in accordance with company procedures, policy and employment law. To achieve the performance standards and levels against agreed targets and budgets. The LCM must keep the Owner apprised of progress (or lack of) on all jobs.
This position reports directly to the Owner or General Manager or their designated representative.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may also be assigned.
COMPANY GOALS
- Assist in the development, implementation and achievement of the company’s annual budget goals.
- Any other items that the owner deems part of the LMA’s responsibilities.
OPERATIONS MANAGEMENT
- Inform the owner daily with updates of all jobs in progress.
- Maintain the Burn Sheet daily to analyze job progress
- Oversee the production of all jobs in progress.
- Inform crews’ daily of job progress to keep them on schedule and on budget.
- Look for extras and convert them into change orders and be sure they are rocessed correctly.
- Interface with subcontractors and suppliers to ensure timely and accurate completion of their phase of the work.
- Ensure that company production and quality standards are met.
- Evaluate equipment utilization and recommends future purchases to Owner.
- Order materials for jobs to ensure they are performed without delays.
- Manage Scheduling of all field-related activities to be performed per contract and or
proposal specifications and within established budgets.
- Manage morning mobilization and afternoon return
- Manage performance expectations
- Establish, implement, and manage labor and material budgets
- Train, Manage, and Monitor Job Sequencing with crew leaders
- Review Daily Production Reports and Landscape Management Report’s
QUALITY CONTROL
- Perform routine job site inspections.
- Implement Quality Inspection and Scoring Process with crew leaders
- Perform job start up inspections and recommendations.
- Perform job start up process with all crew leaders
- Verify contract specifications are being met.
- Develop training programs to address quality improvement.
- Manage and drive the punch list process
CLIENT MANAGEMENT
- Maintain and execute a schedule for day to day client contact and visitation.
- First respondent to Client requests.
- Adhere to the program for client site surveys and follow up on results.
EMPLOYEE MANAGEMENT
- Assists in Hiring field employees
- Participates in the New Hire Training and Orientation
- Assigns all uniforms and company equipment
- Implements and utilizes the Gardener Training Series
- Perform Supervisory training for identified employees
- Maintains the Training Board
- Enforce all established field policies.
- Assists in evaluating crew leader performance
- Evaluates crew member performance
- Monitor status of Performance Evaluations, and keep current
- Makes wage and compensation recommendations for field employees
- Assists in decisions of timing for seasonal labor reduction
- Coordinates and communicates information between office and field
Operations
- Implements and follows disciplinary actions and procedures
- Involvement in all necessary disciplinary action up to and including terminations.
- Responsible for morale
SAFETY MANAGEMENT
- Implement and manage all safety programs as outlined in the safety manual.
- Report all accidents immediately to the owner.
- Ensure that all equipment in the department is operated in a safe and proper manner and maintained according to the company’s maintenance schedule.
- Chooses topics and implements all Safety Tailgate Meetings, and fills out
Report of Safety Meeting
- Performs all vehicle and equipment inspections
- Conduct all Safety Audits.
- Responsible for identification of unsafe equipment or vehicles, and follows company safety recommendations
- Insure compliance with OSHA, as well as all Federal, State and Local requirements
OFFICE AND ADMINISTRATION
- Ensure that all vendor delivery tickets and paperwork are turned in daily.
- Turn in all job cost reports and review with all crew leaders.
- Understand and comply with all company policies, procedures and SOP’s.
- Receive and review all daily job reports for accuracy and thoroughness and forward to the
company’s accounting department.
- Assist in providing a professional appearance of office facilities.
- Participate in keeping files organized and up to date.
- Provide proper paper work flow from field to office.
- Assist with time sheets and Production Reports
- Coordinate client information between office and field
- Communicate uniform, field, and office supply needs
- Maintain a clean and functional training area
- Be proactive in responding to deadlines
EQUIPMENT AND SHOP MANAGEMENT
- Verify crew tool and equipment inventories on a monthly basis.
- Distribute tools and equipment for most efficient use.
- Implement, manage and track preventative maintenance program process
- Maintain Inventory and order parts and supplies for equipment
- Assist or perform minor repairs or take equipment to repair shop
- Report equipment abuse
- Provide necessary disciplinary action for violation of equipment policies.
- Keep shop cleaned and organized
- Secure loaner or spare equipment
- Monitor and check proper fuel mixtures for gas cans
- Lock shop fuel pumps
- Open and close shop
Perform any other tasks necessary or requested by the Managing Partners to insure a smooth and profitable operation.
