Responsibilities
**Position Summary:**
The Hajim School of Engineering & Applied Sciences consists of six academic departments that house 1,500 undergraduate students. The Academic Advisor serves as a holistic advisor for undergraduate engineering and applied sciences students regarding their educational goals: academic program planning, assisting students having academic difficulty, and making appropriate referrals. As well, the Academic Advisor coordinates administrative responsibilities for several scholar programs and awards. This includes project management, data maintenance, collaborating with campus partners, and planning events. The Academic Advisor is supervised by the Assistant Director, Undergraduate Studies.

**Responsibilities:**
**60% - Student Advising**
**Manages a caseload of students, providing advisement on academic goals and policies. Participates in department-wide advising activities.**
+ Provides factual advisement on academic policies for a caseload of students. Counsels students seeking advice about program planning, academic resources and opportunities, and policies. Encourages exploration, engagement in campus life, and experiential learning. Coaches, advocates for, and passionately assists students as they formulate their educational, career, and personal goals.
+ Partners with one or more academic departments (specifically, through their undergraduate coordinators, faculty advisors, and/or undergraduate chairs) to consult on academic programs, degree requirements, or on individual student cases.
+ Participates in end-of-semester grade review that results in students’ placement on, and removal from, academic probation, and/or suspension from the University. Proactively supports students experiencing academic difficulty.
+ Participates in departmental outreach efforts, such as those around midterms.
+ Guides students through academic milestones, such as major declaration. Audits students’ records against College and program degree requirements in preparation for graduation. Communicates with students regarding outstanding degree requirements.
+ Keeps abreast of policies and compliance issues that impact student standing and success, such as those around financial aid, leave of absence, and international student services. Participates in ongoing trainings as a member of the larger College Advisor campus community. Seeks and attends training and development opportunities.
**30% - Scholar Program and Project Coordinator**
**With guidance, manages a number of awards/scholar cohorts for the Hajim School, including working with campus or external partners, program planning, specialized advising, and administrative coordination.**
+ Manages the Graduate Engineering at Rochester (GEAR) Program (a combined bachelor’s/ master’s degree in engineering admissions program): Assists in scholar yield activities in conjunction with Admissions, and school and academic department leadership. Directs efforts to build GEAR cohort; plans events. Serves as academic advisor. Liaises with Admissions, Graduate Education, and individual academic departments, among other offices, to assist scholars in applying to, and matriculating into, their graduate programs.
+ Manages the Patrick Lee Scholars Program (a foundation-supported scholars program for high-achieving engineering students): Assists in the selection of new scholars, including but not limited to obtaining lists of eligible students, soliciting applications, and coordinating interviews. Plans programs that build cohort community. Liaises with Financial Aid and Foundation Relations, among other offices. Represents the University to the Patrick Lee Foundation and other colleges/universities.
+ Supports the Dean and/or their designee with the development of new scholars programs, such as the EDGE Consortium CHIPS Scholars.
+ Assists in development of programming and initiatives designed to support transfer students: Liaises with Admissions and academic departments in advance of student matriculation to provide preliminary transcript assessment. Supports MCC 2+2 program with Hajim Dean Office leadership. Collects, manipulates, interprets, and maintains data, assesses initiatives, and produces reports related to goals and actions plans around this population.
+ Manages Hajim School undergraduate prizes/awards: Convenes the selection committee for prizes. Identifies pools of eligible candidates and/or solicits nominations. Notifies winners, prepares awards/certificates, drafts speeches, and assists in planning events for award ceremonies. Represents the school to underwriting sponsors/donors.
**10% - Program, Event, and Office Support**
+ Assists in department and University programs and events.
+ Assists in the planning and execution of events, including but not limited to events for prospective and enrolling students, new students/parents, transfer students, and Design Day.
+ Manages Hajim School social media and web presence. Sources and creates content; engages with internal and external constituents. Participates with the AS&E Professional Communicators Network and works with communications and marketing staff across the university.
+ Manages the department email address. Responds to routine inquiries.
+ Serves on committees such as the Sophomore Committee, First-Generation Committee, Basic Needs Hub, and Transfer Student Committee. Specific assignments to be based on office needs.
**Qualifications:**
+ Bachelor’s degree required
+ Coursework in education, engineering, counseling, or related field preferred
+ One year of advising experience and program management in higher education, or closely-related experience, or equivalent combination of education and experience required.
+ Demonstrated experience with, and commitment to, diversity, equity, and inclusion efforts and working with historically excluded and marginalized student populations. Commitment to student-centered advisement required.
+ The individual must have the ability to work independently, create action plans, interpret policies, manage and interpret data, plan events, and solve problems required.
+ The individual must be able to establish and maintain effective working relationships at all levels, demonstrate cultural sensitivity and cross-cultural communication skills, communicate clearly through oral and written means, and demonstrate flexibility in decision-making and prioritizing projects reuqired.
+ Preferred skills/background include background with institutional research, FileMaker Pro, Workday Enterprise systems, and intermediate Excel knowledge; strong writing and analytic skill preferred.

**Pay Range**
Pay Range: $18.89 - $26.44 Hourly
