The Department strives to become a local, national, and international leader in developing and maintaining increased representation and recognition of each of these dimensions of diversity among its faculty, staff, and students. **POSITION PURPOSE** The Department of Global Health has an outstanding opportunity for an Academic Advisor (Counseling Services Coordinator (E S 8)) to oversee program operations for two of its three doctoral programs: a PhD in Global Health Metrics & Implementation Science (research doctorate), and the Doctor of Global Health Leadership and Practice (DrGH) (practice doctorate). This is a 1.0 FTE position within the Department of Global Health's Academic Programs. This position will have the flexibility to work offsite with time spent on campus in the Hans Rosling Center for Population Health also required. The position reports to the Assistant Director for Student Services and works closely with the program's faculty directors and other student services staff within the Department, Schools of Public Health and Medicine, and other units on campus. The PhD in Global Health Metrics and Implementation Science (https://globalhealth.washington.edu/academic-programs/doctor-global-health-leadership-and-practice) is a unique, interdisciplinary program jointly administrated by the Department of Global Health (Implementation Science focus) and the School of Medicine's Department of Health Metrics Sciences (Metrics focus). Advising staff from both departments collaborate to manage the program. The Doctor of Global Health Leadership and Practice (DrGH) (https://globalhealth.washington.edu/academic-programs/doctor-global-health-leadership-and-practice) is a new program (the second cohort will be entering in Autumn 2022), and unique as a practice-focused doctoral program. The Program Manager will be instrumental in working with the program director and program faculty and students to continue to build-out the program. The Academic Advisor is responsible for overall program operations, managing recruitment and admissions, student advising, and program operations for both programs. Both programs enroll a number of international students, and many students (both domestic and international) conduct the majority of their studies off site, many outside the USA. The following lists position responsibilities, which include, but are not limited to: **DUTIES AND RESPONSIBILITIES** Program Operations (50%) + Plan and manage events including student research symposia, student orientation, admissions open houses, and annual retreats or other program-sponsored events. + Manage program committees, including admissions committees, governance (curriculum, steering committees), and student milestones (written and oral exams) - to include scheduling, agenda development, taking minutes, and other core support as needed. + Respond to requests for data or program information including reports on funding and recruitment. + Support curriculum and program development. + Serve on the department's curriculum committee and share relevant student feedback. + Provide guidance and support for recent or new faculty advisors. + Facilitate annual feedback sessions and actively document and implement suggestions for program improvement. + Participate in planning and development of new funding applications in partnership with the PhD and DrGH Steering Committees. + Ensure programs abide by Graduate School policies for academic program review and audits. + Update and maintain student handbooks, program websites, and intranet resources. + Work with program leadership to identify and submit nominations for student awards. + Track individual student funding for duration of time in program. + For DrGH, facilitate LPE process and tracking of student progress with required academic products. + Work with administrative staff at sites affiliated with the DrGH program to set up support for students and faculty activities. + Help identify and track annual operational expenses by program. + Assist Program Directors in identifying funding opportunities for students, including RA/TA positions. + Within program/department structure, identify student leadership positions.Academic Advising (25%) + Know, communicate, and apply UW, Graduate School, School of Public Health and degree program policies to assist program leadership, faculty, and students. + Synthesize existing policies into guidelines and timelines for dissemination to students and faculty. + Identify emerging issues that need scrutiny, discussion, or action. + Develop, update, or implement new policies for review and action. + Raise student concerns and issues to program leadership and Steering Committees for review and action. + Monitor and track student progress on a continuing basis. + Advise students in quarterly meetings or as needed on program degree requirements, research goals, faculty advising, funding opportunities, and course progress. + Serve as a resource to students who are struggling and refer to appropriate faculty or University services for help, if appropriate. + Facilitate the matching of students and faculty advisors. + Draft disciplinary memos to students outlining academic deficiencies, academic expectations, and future courses of action. + Orient new students to program and support continuing students' progress towards meeting degree requirements (identify policy, requirements, milestones, etc.). + Manage program Canvas pages as centralized advising center for students.Manage student recruitment and admissions (25%) + Respond to questions about the program, career opportunities, or the admissions process itself using email, phone, or through individual meetings. + Host, support, and attend recruitment events (online and in-person). + Collaborate with other academic programs in the DGH and SPH to increase outreach efforts to encourage diverse students to apply to our program. + Develop and manage FERPA-compliant application management process. + Coordinate and manage PhD and DrGH admissions committees, assemble committee members, advise new committee members on admissions processes, coordinate committee meetings, schedule interviews between committee members and applicants, schedule campus visit itineraries for visiting applicants. + Track applicants and offers; monitor commitment of department's financial support to funding available to give regular status reports to program directors. + For department recruitment funding, work with payroll coordinators to set up initial student payroll appointments; modify, update or terminate payroll when necessary. **MINIMUM REQUIREMENTS** + Bachelor's Degree. + Four - Five years of experience in an administrative position, including two years in an academic setting, counseling or teaching position, or related experience in a cross-cultural environment. + This is a full-time 40 hour per week position that requires flexibility of work schedule in accordance with fluctuating workloads and deadlines of the academic year. Some weekend and evening work required. + Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. **ADDITIONAL REQUIREMENTS** + Highly organized, detail-oriented and able to streamline and prioritize work; strong initiative and follow-through. + Ability to establish and maintain productive working relationships with students, staff, faculty, and administrators of diverse backgrounds. + Ability to work independently, solve problems and make professional judgments while maintaining student confidentiality. + Strong adaptable writing skills: ability to communicate in diverse written formats and mediums, as well as to tune messages for a wide variety of audiences. + Ability to work effectively under changing environments. + Experience working in MS Office. + Ability to initiate, develop and evaluate processes and procedures. + Interest and comfort working with new programs. + Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. **DESIRED QUALIFICATIONS** + Master's Degree. + Three to five years' experience of academic advising. + Experience advising international graduate students. + Background in process improvement and working effectively with change. + Familiarity with University of Washington systems and knowledge of UW policies and procedures. + Experience planning events and coordinating resources or managing a budget. + Interest in supporting the global health education, research and practice mission of the department. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
