About the Job
SCOPE: Performs a wide variety of administrative and technical functions in support of the Workforce Development program including overseeing daily office operations and coordinating special projects. Assembles documents and materials for programs and meetings. This position reports to the Director of Workforce Development at Nashua Community College.
ACCOUNTABILITIES:
- Oversees the day-to-day office operations of the Workforce Solutions Center.
- Communicates effectively with welcoming students, guests, instructors, and staff while efficiently addressing their requests promptly (in person, telephone, mail, or electronic mail) and facilitating appropriate referrals when necessary.
- Assists the WSC Program Managers in planning and coordinating all program logistics; processes registrations for corporate clients utilizing the Banner system, tracks participants, maintains records, and collects and processes the final program evaluations.
- Prepares training agreements, contracts, and appointment notices for the WSC and corporate trainings; collects all new hire documentation and process accordingly.
- Ensures all contractors for the WSC are invoiced in a timely manner and trouble shoots with the Business Office, any issues that arise in the invoicing/payment process.
- Compiles information and generates budget, enrollment, and other reports as needed.
- Coordinates WSC related facilities use with all NCC departments and assists the WSC Program Managers in planning and coordinating program activities and projects.
- Creates and coordinates with college marketing department in support of WSC programs and activities and marketing strategies, including but not limited to social media, constant contact, program sheets and mailings.
- Assists in developing operational policies and procedures and recommends operational changes to improve workflow; manages WSC electronic databases and document storage system (retrieval and purging).
- Represents the WSC on various college committees and outside organizations as assigned.
- Complies with all system, college, state and federal rules and regulations.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
Education: Associate’s degree from a regionally accredited institution of higher education with a major study in business administration, communications, or related discipline.
Experience: Three years’ experience in responsible office or business management activities.
License/Certification: Valid driver’s license or access to transportation for statewide travel.

Knowledge of business acumens and college policies, rules, regulations, procedures, and functions. Knowledge of basic principles and practices of accounting. Ability to properly compose a variety of correspondence with only general instructions. Ability to plan, assign, and supervise the work of others. Ability to gather, assemble, correlate, and analyze facts to identify existing or potential problems. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with other employees and the general public. Ability to work independently in the completion of assigned duties. Ability to understand and carry out complex written or oral instructions. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as determined by management.
