Position Summary:
The Visitor Services Coordinator facilitates all aspects of customer service to walk-in guests, phone inquiries and individual and group visitation programming.
Primary Responsibilities:
- Facilitate the scheduling of prospective student campus visits by phone, inquiry form, or walk-in, coordinating visit elements such as campus tours, meetings with Admission Counselors and faculty, classroom visits, group visitation programming, and other departments as needed (Athletics, Financial Aid, etc.).
- Provide campus tours and tour training to team members.
- Assist with the coordination of special events including coordination of student worker coverage, requests for room reservations, catering and other duties as needed.
- Coordinate group visit requests for high schools and community-based organizations.
- Create, organize and distribute e-mail, mail, and phone confirmations for all recruitment events, individual visits, and new student registration days, when applicable.
- Organize and track event registration forms using web-based event management and registration tracking tools.
- Maintain Mount Mary Admissions e-mail and voicemail accounts daily.
- Maintain MS Outlook campus events calendar with pertinent admission office and campus-wide information.
- Coordinate breaks, lunch, vacation and sick days with office staff to ensure that the Welcome Center front desk and phone are covered at all times.
- Responsible for Welcome Center digital board including visitor/group names, and other pertinent MMU Admissions information.
- Co-supervisor of the Student Ambassador and Cristo Rey Corporate Work Study teams; training, scheduling, projects, team meetings, supervision, etc.
- Maintain and organize marketing materials in Welcome Center.
- Process student worker online time and attendance (bi-weekly) and track hours/wages.
- General office duties including organization of Admissions Welcome Center, marketing materials, refreshments, ordering office equipment and supplies, etc.
- Track, create and enter event codes in Slate (for events, individual visits, group visit, tours, etc.)
- Respond to telephone and in-person inquiries from students, office staff, administration, faculty and the community and provide necessary information and/or direct to appropriate party.
- Check Visitor Services mailbox and admissions drop box in hall daily and distribute contents to staff.
- Other duties as assigned.
Experience and Qualifications
- Bachelor's Degree preferred.
- Previous experience in admissions, reception or hospitality preferred.
- Outstanding written and verbal communication skills; must be able to communicate and interact effectively with prospective students, visitors, Mount Mary offices and community members.
- Strong interpersonal and organizational skills necessary.
- Exceptional ability to multitask and prioritize projects in direct support of the Enrollment Services Leadership Team.
- Bilingual in Spanish a plus.
Physical Demands:
- May be required to lift up to 20 lbs.

Working Conditions:
- Can be scheduled for up to 40 hours a week, including occasional evenings and weekends.
- Varying workflow; sometimes stressful with high workload times of the year
