Assabet Valley Collaborative (AVC) is an educational service agency in Metrowest/Central Massachusetts. Qualifications:
The Transportation Operations and Billing Specialist should have at least two (2) years of relevant experience working in accounting and/or bookkeeping, operations.and/or the field of special education. An Associate's or Bachelor’s Degree in Accounting, Finance, or related field is preferred. Must be highly organized, have the ability to laser focus on the details within complex data sets, possess excellent customer service and collaboration skills. Comprehensive fluency in G-Suite, Microsoft Excel, Word, and Adobe Acrobat. Experience with Accounting Software (Tyler Technology ERP Pro aka Infinite Visions) preferred. The ability to manage and manipulate large amounts of data in Excel and/or Google Sheets is required.
Role Overview:
The Transportation Operations and Billing Specialist is a vital role in our central office team supporting our work throughout AVC. The specialist’s work requires detail, accuracy, efficiency, flexibility, collaboration, teamwork, and a proactive attitude. This role involves a heavy volume of electronic, telephone and in person communication that requires a high level of professionalism, public relations, and problem solving. This position performs significant administrative and operational tasks along with management of monthly invoicing that are integral to the effective and efficient, daily operation of the organization.
Assabet Valley Collaborative is seeking a full time Transportation Operations and Billing Specialist.
WORK YEAR: 12 months; 40 hours per week.
REPORTS TO: Director of Finance.
JOB RESPONSIBILITIES:
The Transportation Operations and Billing Specialist is responsible for all aspects of transportation invoicing processing and collection; Coordinates and supports special education transportation in conjunction with our transportation providers for AVC member districts.
The Transportation Operations and Billing Specialist will be responsible for:
- Prepare monthly invoices for transportation services.
- Timely response to district AR inquiries and revisions to invoices (if needed).
- Review AR Aging report and follow up on outstanding payments.
- Reconcile Accounts Receivable monthly.
- Effectively communicate and collaborate with all stakeholders involved with student transportation.
- Monitor the quality of services provided by transportation providers.
- Customer service - timely and professional processing of requests, inquiries, and concerns from school districts, families, transportation providers or other stakeholders.
- Maintain confidentiality of student transportation records.
- Prepare, update and distribute annually AVC transportation handbook.
- Process and review CORI and SAFIS results for vendor drivers/monitors.
- Partner with transportation providers and districts to streamline and improve processes.
- Stay current with all state, federal, and local regulations pertaining to student transportation.
- Coordinate and collaborate with other team members.
- Arrange for field trip transportation as needed by AVC programs.
- Coordinate and review driving records for AVC’s employees who transport AVC students.
- Collaborate on development of AVC transportation policies.
- Coordination of transportation services include: collaborating with vendor(s), coordination of requests for services, data collection, filing as needed.
- Review current processes and make recommendations for process improvements.
- Perform other related projects and tasks, as needed, including financial audit support.
