About the Job
The Tenant Experience Coordinator will serve as the first point-of-contact for tenants, visitors and key external vendors to assist in executing a wide variety of initiatives including amenities, tenant events, property maintenance supervision and special projects as assigned.
The main responsibility of the Tenant Experience Coordinator is developing and maintaining strong working relationships with the tenants in the facility, including but not limited to, ensuring that tenant issues and needs are responded to and resolved by the appropriate individual, department, or service.
Duties and Responsibilities, Customer Service & Communication
- Greet tenants and visitors upon arrival daily as they enter the building with a professional and friendly demeanor. Verify identification, and provide guidance on office locations within the building.
- Offer sparkling water and beverages to guests waiting in the lobby.
- Provide general building information to tenants, guests, and visitors, including directions, hours of operation, and special instructions for events or meetings.
- Serve as liaison between Property Management team and the tenants.
- Maintain clear and effective communication between Property Management and Security regarding any incidents or updates.
- Obtain customized tenant information for points of contact for birthdays, tenant anniversaries, etc.
- Distribute frequent tenant correspondence on the upcoming week’s events and activities by distributing flyers, and having materials printed for display to promote.
- Help promote community outreach opportunities for tenants to engage with such as annual Toys for Tots holiday drives.
- Assist tenants with booking services at amenities around campus via an iPad including car washes, wellness center appointments, signing up for fitness center memberships, etc.
- Complete property inspections on a weekly basis and update Angus as needed.
- Monitor Angus work order system, collaborate with engineers to ensure timely completion of all tasks, enter new work orders as advised.
- Manage OpenPath by adding and removing users as necessary. In addition to scheduling doors to be unlocked during events.
Duties and Responsibilities, Tenant Events
- Assist with securing vendors for monthly food trucks, farmer’s markets, blood drives, craft/jewelry shows, etc.
- Keep record of all tenant events and event attendance and feedback.
- Attend all tenants events take photos, and record in Monday.com.
- Update TVs and digital displays with BRiC programming and directional signage for events.
- Track COI expirations and make updates as needed.
- Track expiration dates and obtain updated vendor documents.
Duties and Responsibilities, Marketing Materials & Distribution
- Monitor Property website, ensuring all is up to date.
- Distribute the amenity guide brochure which outlines the maps, Environmental Health initiatives, services, discounts, and amenities offered exclusively to tenants.
- Assist in designing flyers and graphics for upcoming events/promotions.
- Assist with uploading all STQRY content to Google Drive and syncing kiosks.
Qualifications
- Previous customer service experience preferred.
- Basic overall computer skills.
- Skilled communicator with great interpersonal skills and the ability to build and manage relationships.
- Experience working in an account service or customer experience environment.
- Event management is a plus
- Marketing experience utilizing Canva is a plus
