Position Summary:
The Executive Education Program Manager is responsible for the development and administration of residential management development programs for UCLA's Office of Executive Education Programs (EE). The Incumbent is responsible for program development, client relations, financial analysis and management, faculty relations, and logistical implementation of a portfolio of approximately 12-18 custom and open enrollment executive education programs per year, serving approximately 700 executive-level participants annually. The Executive Education Program Manager works independently, employing strategic analysis to take actions and make decisions that support EE's long-term goals. S/he is responsible for the creation of an optimal learning environment for participants and an optimal teaching environment for faculty. Responsibilities include: the design and implementation of open-enrollment and custom executive programs, including determination of educational goals and development of program curriculum. Assess the effectiveness of faculty. Provide strategic analysis of UCLA's Executive Education Programs in relation to competitors by conducting research on competitors and competitive programming. Price programs, considering revenues, margins, marketplace potential, and competition. Administer and execute all details associated with program implementation. Professionally represent UCLA Executive Education at meetings with corporate executives and sponsors, professional groups, and faculty to discuss new and continuing programs. Inspect, visit, and develop potential program sites. Implement cost effective processes. Understand the tenets of adult learning theory and provide analysis and input into curriculum and program design that improves the learning experience and enhances the reputation of UCLA Anderson. Form strategic partnerships with appropriate organizations. Independently and effectively handle problems related to programs, faculty, and participants and systematize the solution and problem-solving process for future occurrences. Additional responsibilities: Develop and oversee financial budgets. Analyze costs, make and implement budgetary changes, and manage financial performance for portfolio of programs. Prepare and administer program budgets, with overall profit and loss, revenue and expense responsibility. Implement procedures to increase group and program revenue and net income. Achieve financial targets for all programs. Evaluate the profitability potential of prospective programs and find ways to improve financial performance with effective program budgeting. Ability to attend offsite client programs and client meetings at local, out-of-state, and international locations. The Program Manager is expected to work independently, under minimal supervision. S/he reports to the Associate Director of Programs and Operations and is expected to approach the Associate Director if specific guidance is required. The Program Manager has a partner relationship with the Account Director(s) and Sales team and works closely with the Assistant Dean. As part of his/her duties, the Program Manager may oversee specific tasks of the Program Coordinator and manage a team of student assistants to execute program implementation.

2+ years of relevant experience, or equivalent combination of education and experience. (Required) Proven experience in organizing, planning, and executing small and large-scale complex projects, events, programs, workshops, and conferences, including program implementation and logistics. Ability to create, modify, and implement policies, procedures, and forms to increase efficiency. (Required) Demonstrated knowledge of program budget creation, budget management, financial analysis, and financial reporting. Skill in computing ratios, rates, and percentages to forecast profit and loss on individual budgets. Skill in projecting program profit trends given cost data. Knowledge of accounting principles for processing accounting forms, documents, and spreadsheets; ability to prepare expense statement. (Required) Strong proficiency using various hardware and software programs: Word (creation of forms & tables, signs, labels), Excel (formulas, database function, spreadsheets, data sorts, mail merges, etc.), PowerPoint, email, electronic calendaring system, Internet (web searches), contact management software, travel and entertainment reimbursement software (Express preferred), and database. (Required) Skill in negotiating, exchanging ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions. Skill in coordinating programs by determining the time, place and sequence of actions to be taken on the basis of analysis of data. (Required) Knowledge of continuing education, executive training, professional development and/or Executive Education programs. Knowledge of UCLA accounting processes and ability to interface with Anderson Business Office and UCLA Purchasing, as necessary. Knowledge of EEP program content and Anderson faculty expertise. Knowledge of University, Anderson School, and Office of Executive Education Programs policies and procedures. Ability to understand/speak a foreign language. Knowledge of HTML, Photoshop, Adobe Acrobat, Sharepoint, Word to create and maintain websites. (Preferred) Skill in writing routine business correspondence and reports and skill in conveying complex information in a clear, concise and diplomatic manner to a diverse clientele either by telephone or in person using proper English grammar, punctuation, spelling and vocabulary. (Required) Excellent interpersonal skills to interact effectively and diplomatically with interact with members of corporate and professional organizations, faculty and university constituents, and program participants from various social, cultural and economic and educational backgrounds to promote executive education. Ability to establish and maintain professional and effective working relationships with faculty, staff, students, administrators, personnel, and executive prospects and clients. (Required) Excellent analytical and creative problem solving skills, with ability to analyze problems, propose solutions and/or make recommendations and take action.
