About the Job
New England Cancer Specialists (NECS) is currently seeking a full time 40 hr Surgical Scheduler, in our Scarborough office. The Surgical Scheduler coordinates and schedules all surgical procedures and related appointments in the clinical setting. They work with physicians, patients and other staff to ensure that everyone is informed about the surgery plan and recovery process. This includes scheduling supportive services that help promote a successful recovery such as, but not limited to physical and occupational therapy. The Surgical Scheduler provides accurate and up-to-date information accessible to all relevant departments and maintains open communication with partnering OR and procedural sites regarding schedule changes.

Required Experience:
ESSENTIAL FUNCTIONS
- Is directly responsible for coordinating surgery cases and outpatient procedures based on doctors’ OR block time schedules and clinic schedules.
- Schedules and completes any active work list items (including: all pre-op orders, laboratory and diagnostic studies, pre and post-surgical visits in the clinic) as ordered by the surgeon.
- Counsels’ patients concerning scheduled surgery, financial obligation and provides patients with estimates related to surgeon fees.
- Requests authorization and/or pre-certification from health plans prior to scheduled surgery for surgical procedure and hospital days.
- Facilitates all patient communication throughout the entire surgical process.
- Contacts patients regarding date and time of surgical procedure and related appointments and provides updates to any changes to surgery date.
- Arranges for assistant surgeon coverage, including midlevel practitioners.
- Secures all vendor equipment requests for surgery as directed by physician.
- Schedules surgeries within established surgical block times with affiliated hospitals as requested by surgeons.
- Schedules pre-op appointments including labs, EKGs, imaging or any ancillary services.
- Ensures all documentation is complete and the correct information is communicated and distributed to patients in a timely manner.
- Ensures all clearances requested by provider are received prior to the surgery date.
- Arranges home health services for patients as directed by physician in coordination with the Surgical Nurse Navigator
- Schedules first post-op appointment.
- Collaborates with clinic scheduling staff when procedures are cancelled or if surgical procedure times conflict with routine clinic hours, so that clinic time and schedules can be adjusted.
- Enters surgical scheduling information into practice management software.
- Prepares complete surgical packets and scans into electronic medical record.
- Ensures physician requests are monitored throughout the day, via EMR, phone, email or verbal instruction.
- Assists Practice leaders with orientation of new employees.
- Maintains company code of conduct and patient confidentiality as regulated by HIPAA.
- Assures that a positive service image is projected in all encounters with patients, visitors, and department staff.
- Provides accurate, reliable, courteous, and timely services to all customers.
- Attends all regular staff meetings.
- Other duties as assigned by Practice leaders.
Requirements
- High school diploma or GED required. Certificate of completion from an accredited program for Medical Assistant or Medical Secretary Certification preferred.
- Previous scheduling experience in a health care environment is required (e.g., physician office, clinic or hospital
- Hospital registration or admitting experience is desirable
- Knowledge of medical terminology and familiarity with medical diagnostic procedures, and health care billing and authorization is required
