The Support Coordinator will assist with all aspects of patient care. Coordinate clinic schedules, patient appointments and follow up. Answers patient phone calls, verify insurance benefits, prepare charts for clinic and prepare charge tickets for clinic visits. He/She will also coordinate scheduling of all surgeries and diagnostic testing for patients which include sending pre-op packets to patients with surgery instructions, prepare surgery charge tickets and compile letters of medical necessity. The Support Coordinator will assist with the office clerical duties. Other duties may include: assisting multidisciplinary team in managing the care of the patient's thru all phases (In-take/Evaluation/Listed) by acting as a liaison between the clinic and referring physicians; assisting in managing follow-up care for post surgical patients by setting up follow up care appointments; and/or coordinating an organized and efficient case flow of clinic scheduling. Must work with any and every Physician. The Ophthalmic Support Coordinator position assists with leading ophthalmology clinic operations in our Pasadena location and is the central point for coordinating patient care/patient flow within the ophthalmology service. The O.S.C is also responsible for coordinating other ophthalmic/support staff which rotate through the service, and is responsible for monitoring and maintaining service specific policies and procedures. Acts as liaison between the patient and the physicians on the service, ensuring that questions and concerns are resolved in a timely manner, and any and all necessary documents are filled out by physicians and/or clinical fellows. Essential Duties: Develops and implements service specific operational protocols that promote service efficiency and teamwork with other services. Coordinates and monitors flow of patients through clinic. Manages and plans for the orientation of technical staff, residents and fellows who rotate through the service. In conjunction with the clinic administrator/director, collates and analyzes data, and tracks and trends process improvement initiatives involving quality and patient safety. Assists the nursing manager and/or clinic administrator/director with design and implementation of educational programs that support professional growth and development of staff. Provides administrative support for the Medical Director, Administrator and Service Line Director as needed. Serves as lead for the ophthalmic satellite service and liaison between the department, HSC Clinic, outside vendors and services and referring providers. Ensures referring providers receive feedback on patients referred. Coordinates and transmits all pertinent reports to referring providers as needed. Assists with all aspects of scheduling appointments, including surgical and post appointments. Ensures an organized efficient flow for all providers in the ophthalmic services. Ensures that patient preparation and paperwork is complete for pre op patients as required by surgery scheduling and admitting procedures. Monitors physician’s daily clinic schedule, prepares to notify and collect all balances and copays due by patient at the time of services. Assists clinic leadership to maintain and monitor compliance with Joint Commission, CDPH and other regulatory standards as well as meaningful use measures. Provides education and support to the providers as needed to correct deficiencies. Complies with all policies, procedures, regulatory and legal requirements as applicable. Performs all tasks in a safe manner in compliance with safety policies and according to applicable regulations. Maintains a neat workstation and environment. Assists clinic manager with staffing assignments in all areas as needed. Coordinates rest and, meal breaks and provides oversight of overtime. Manages all front desk operations including but not limited to checking patients in and out. Ensures cash drawer batches balanced. Prepares and submits deposits per USC policy for pick up. Provides phone coverage as needed, demonstrates flexibility in covering other staff members for sick time, vacation or leave of absence. Processes new referrals in a timely manner, including obtaining outside medical records, entering appropriate information into the scheduling system, performing eligibility checks to clear patients financially. Coordinates with insurance carriers and medical groups to obtain treatment authorizations for office visits, tests, procedures, and surgeries. Order and maintain office supplies, assist in the care and maintenance of department equipment. Ensure service contracts are secured for all equipment. Performs other duties as assigned. Required Qualifications: Req High school or equivalent Req Associate's degree Degree in a related field Combined experience/education as substitute for Associate's Degree Req Must have excellent communication skills, including the ability to speak, read and write English proficiently. Req Must be comfortable with computers.
Preferred Qualifications:
Pref 5 years Recent experience in an ophthalmology practice. Pref Knowledge of medical terminology. Pref In depth knowledge of all insurance types. Pref Familiarity with word processing, IDX, Cerner, PBAR and scheduling software. Required Licenses/Certifications: Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only) The hourly rate range for this position is $22.00 - $34.18.
