The Staffing Office Administrative Assistant provides administrative services for the staffing office and the nursing management team throughout the nursing division. Establishes a cooperative working relationship with staff and administration to facilitate timely high quality completion of work. Creates a positive office image by responding professionally to all patients, staff and other customers. Performs and manages basic office operations working with the staff and nursing management to facilitate the daily flow of the office. Responsibilities may also include greeting staff and entering schedules in the computer system. This individual must be able to establish goals, structures and processes necessary to implement the mission and strategic vision of the nursing division. The ability to effectively communicate thoughts, ideas and facts both verbally and written is also required.
- Directly responsible for assisting day to day operations and interactions related to the Sr. Director of Nursing and the Nurse Staffing Office manager.
- Serve as a liaison with both internal and external publics using professional correspondence and strong communication skills.
- Providing support and assistance for Flex Pool staff scheduling, throughput within patient care services and supporting the Nursing Supervisor by entering changes in the staff scheduling system.
- Create, maintain and track filing systems such as employee absenteeism, annual competencies, mandatory requirements and orientation for employees hired through the staffing office.
- Sorting, opening and distributing daily mail; Answering the telephone in a prompt and courteous manners; Assisting with distribution and logging of equipment such as PCDs, Voyce Tablets or Rover devices.
- Maintaining open lines of communication throughout the organization.
- Communicate with the Help desk and Facilities Departments regarding IT or environmental repairs needed throughout the nursing division especially in regards to regulatory and safety concerns.
- Able to analyze data and able to work independently to address specific tasks and requests as needed by the nursing management team.
- Able to prioritize ongoing and new projects, as well as explore other options through information gathering.
- Performs other duties as assigned.
Education and Work Experience:
- High School Diploma or GED
- Must possess a minimum of 2 years experience as an administrative assistant or comparable qualifications
Knowledge, Skills and Abilities:
- Computer proficiency and technical aptitude with the ability to utilize one or more of the following:
- Microsoft Word, Power Point, Excel
- Microsoft Outlook
- Meditech (if applicable to position)
- Epic (if applicable to position)
- Performance Manager/NetLearning
- Must be able to read, write, and speak the English language in an understandable manner.
- Must be able to work independently and possess the ability to make independent decisions when circumstances warrant
such action. - Must possess the ability to effectively communicate and deal tactfully with other personnel, visitors, patients, physicians,
customers, and the general public. - Must be flexible, have personal integrity, and the ability to function effectively as a team with other employees.
- Must be able to follow written and oral instructions.
