About the Job
GENERAL PURPOSE:
Serves as the primary administrative liaison of the Center for Matter at Atomic Pressures (CMAP), an NSF Physics Frontier Center, and other high energy density science efforts within the Institute for Matter at Extreme Energy Densities (IMAXED). Under the general direction and with considerable latitude to exercise independent judgement, with minimal direction from the CMAP leadership and CMAP and IMAXED Director, coordinates Center’s day-to-day operations including but not limited to: schedules, plans, and directs meetings, seminars, workshops and conferences; travel; facilities, coordinating with partners, Executive Board, Technical Oversight Committee and External Advisory Board. Serves as Center Finance/Operations Administrator establishing and overseeing Center administrative procedures, budgeting, development of accounts, financial procedures; assures Centers’ compliance with University administrative systems, policies, post award administration, seed funding and internal/external reporting, etc.
CMAP core partners include:
University at Buffalo, Massachusetts Institute of Technology Princeton, UC Berkeley and UC Davis.
**RESPONSIBILITIES:**
**Fiscal Administration**
+ Develops and controls research project and operating budget of CMAP and other IMAXED accounts. Manages tracking of monthly financial performance (actual to budget) and prepares summary of activity/variances for Director’s sign off. Coordinates outstanding and/or correcting transaction(s) with appropriate entities until resolved.
+ Oversees all CMAP and IMAXED expenses and property and related recordkeeping.
+ Manages expense reimbursement and purchasing process for CMAP and IMAXED in adherence with UR and sponsor policies.
+ Supports annual CMAP and other IMAXED financial reporting, including forecasting CMAP budget expenses, associated project and sub-award accounting, and Center’s strategic planning.
+ Liaison reporting with central offices to include Office of Research and Projects Administration, Office of Research Accounting and Costing Standards; National Science Foundation, and/or other partner organizations.
+ Collaborates with Director on all Progress & Reimbursement Request reports for active CMAP contracts.
+ Controls expenses and property. Responsible for preparation of operating and financial records for review and approval.
**Center Administration**
+ Responsible for operation of central administrative office. Participates with CMAP leadership. Including but not limited to attending Directors’ meeting such as strategic planning, business development, advisory board and other meetings as applicable.
+ Manages scheduling, planning and execution of both Center’s technical interchanges, seminars and workshops. Maintains CMAP and IMAXED calendars for both internal and external events.
+ Selects and supervises professional staff (2-3) and management of Center staff including assignments, performance evaluations (in partnership with the Director), payroll processing, and personnel actions. Will provide training and development, evaluate performance. Counsels staff on matters of discipline, promotion, and other matters.
+ Oversees CMAP and other IMAXED proposal applications. Tracks proposal submissions, performs due diligence on project and budget documents in advance of committee review.
+ Organizes review committee meeting, presents committee results to Center leadership and notifies faculty and department administrators of award/no award status. May make recommendations.
+ Primary CMAP contact with respect to facilities planning including: maintenance, custodial, and other central services. Makes recommendations for equipment, repairs, and supplies. Represents department in obtaining support services.
+ Actively supports in CMAP and IMAXED annual reporting. Coordinates CMAP’s response to UR, AS&E annual report, surveys from Dean’s Office and data requests from University Office of Government and Community Relations.
**Communications**
+ Responsible for oversight in the development and maintenance of CMAP and IMAXED websites, social media outlets – UR/NSF/other partners’ event calendars, Center websites, Facebook, LinkedIn, and X (formerly known as Twitter).
+ Identifies and oversees processes for all major mail-outs to Center customer base.
+ Supports Center Director, and Faculty Outreach Coordinator with outreach and engagement with external partners, including industry and other affiliates. May make recommendations.
**General Administration**
+ Attend meetings and report pertinent information, updates, policy changes, etc. to Center management and staff. Meetings include River Campus Administrators Group (RCAG), College Administrators Meeting, and River Campus Research Administrators Group.
+ Responds on behalf of CMAP/IMAXED leadership to inquiries. Direct specific projects as requested by the Director.
+ Participate in daily problem solving of Center operational issues.
+ Utilizes HRMS payroll system for approval of student hours, and other personnel actions.
+ Participate in sponsor-hosted meetings, webinars as required.
+ Interprets policy, regulations etc. within CMAP staff, students and general public. Participates with CMAP leaders on the planning and design of program changes.
**QUALIFICATIONS:**
+ Requires Bachelor’s degree or an equivalent combination of experience and training required.
+ Master’s degree preferred.
+ Prefer 5-7 years of related work experience including at least 3 years in a managerial capacity in an academic office or project management, or the equivalent experience.
+ Efficient in MS Office, including MS Excel, Word, and project management tools required. Grant preparation, pre and post-award grant accounting preferred.
+ CLASP certification or obtaining CLASP training and certification within first 6-9 months after starting date required.

**Pay Range**
Pay Range: $68,765 - $103,147 Annually
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
