Overview
This position is a customer-facing administrative position requiring strong clerical, computer, and both written and verbal communication skills. This position requires flexibility and willingness to embrace change in a fast-paced environment and stay focused on priorities. For an individual to succeed they need to approach problems with a solution-oriented mindset, have the ability to connect with key stakeholders, and clearly articulate ideas and feedback.
Basic Duties
- Answer all incoming calls for Truck Shop and Commercial Engine Shop
- Open work orders by collecting all required information from the customer on the initial phone call. Keep customers informed of job progression up to and including conclusion.
- Open all quoted repair work orders and order required parts. Add all new jobs to job management tool.
- Review all Truck Shop and Commercial Engine Shop work orders for accuracy.
- Review warranty on Caterpillar serial numbers and add information to the work order to indicate warranty.
- Report all invoice disputes related to assigned work orders within your territory and/or assigned personnel.
- Ascertain credit terms for each customer from CRM system and assist with credit card processing, as needed.
- Assist with payroll timecard processing, as needed.
- Provide admin support to Commercial Shop Supervisor and Truck Shop Service Manager.
- Maintain service records, equipment information, and customer information. Maintain customer rapport and records.
- Assist with issuing purchase orders and working with vendors/suppliers, as needed.
- Work closely with truck shop lead man and all internal customers.
- Additional duties as assigned
Qualifications
- High School Graduate with previous administrative, clerical, and/or customer service experience in a fast paced, multi-tasking environment is a must.
- Prior experience working in service environment or engine, mechanical, or electrical aptitude or knowledge is a plus
- Demonstrates a positive outlook, takes initiative in tasks and projects without needing constant supervision, and an eagerness to learn new skills.
Physical Requirements/Working Conditions
This position works in an office and engine shop/warehouse environment. May on a continuous basis walk, bend and lift up to 20lbs. Will be required to wear appropriate safety equipment (IE- Safety glasses or side shields) when needed. The noise level in the engine shop/warehouse environment is usually moderate to high and office environment noise level is usually moderate to low. May intermittently sit at a desk for long periods to answer telephone calls and write or use a keyboard to communicate through email.
