SUMMARY OF POSITION
The Solomon R. Guggenheim Foundation is seeking a Senior Manager, Special Events. As a member of the Advancement Department, the Senior Manager, Special Events will provide critical management and strategic support for the museum’s fundraisers, exhibition openings, and cultivation events. The Senior Manager, Special Events will take a lead role in producing all exhibition opening celebrations, Celebration of Students event, and Young Collectors Council Party fundraiser. The Senior Manager, Special Events, will provide critical production and fundraising support for the Guggenheim International Gala, in concert with the Assistant Director of Special Events.

WORK SCHEDULE: 40 Hours per Week, Schedule TBD
POSITION TYPE: Full-time, Exempt. This position is covered by a Collective Bargaining Agreement with Local 2110 UAW.
SALARY RANGE: $82,000 - $86,000 Annually

SKILL & EXPERIENCE REQUIREMENTS
- 4-6 years of Special Event and/or event production experience required, with a focus on the arts preferred.
- Ability to maintain the highest level of confidentiality.
- Excellent organizational and time management skills.
- Ability to work onsite and maintain flexible hours, including evenings and overnights.
- Exceptional written, verbal, and interpersonal communication skills.
- Flexibility and the ability to adapt to changing priorities.
- Excellent attention to detail with the ability to handle multiple projects in a fast-paced environment is a must.
- Ability to be proactive, use independent judgment, and take initiative.
- Proficiency in computer applications including Microsoft Suite: One Drive, Word, Excel, Outlook, PowerPoint, and Salesforce.
KEY RESPONSIBILITIES
Duties may include, but are not limited to, the following:
- Provide critical production support to the Assistant Director of Special Events on the museum’s key fundraising events, including the Guggenheim International Gala, Celebration of Students, and YCC Party, in addition to exhibition opening events, rental events, location shoots, and internal cultivation events.
- Manage all components of exhibition opening celebrations, including budgets, invitations, mailings, correspondence, seating, on-site production, external vendors, and cross-departmental event debriefs.
- In collaboration with the Assistant Director of Special Events, strategize fundraising, augment prospect lists, maximize personalization of all mailings, and determine effective follow-up strategies.
- Produce the Digital Journal and printed materials for the Guggenheim International Gala, by managing Graphic Design communications, compiling leadership listings, facilitating outreach to event supporters, and circulating all materials for final approvals.
- Manage line-by-line production schedules for special events, including but not limited to the Guggenheim International Gala, Celebration of Students, and Young Collectors Council Party.
- Solicit bids, negotiate contracts, manage insurance requirements, and oversee relationships with external vendors including audio-visual, printer, production, performer, décor, and others, as requested for internal events, rental events, and location shoots.
- Manage event talent, sponsors, speakers, and honorees including coordinating soundchecks, rehearsals, greenrooms, transportation and accommodation.
- Liase with onsite staff including Security, Art Handlers, Facilities, and Lighting departments, and direct all external vendors, to ensure all event needs are met.
- Coordinate with the Communications team to ensure fundraising events are incorporated into communications and social media strategies.
- Identify new sales channels and strategies for licensed location shoots to meet associated revenue targets and build a portfolio of returning producers, scouts, and entertainment companies.
- Represent the Special Events Department at recurring cross-departmental meetings for Building Operations, Master Calendar Editors, Licensing & Quality Review Committee, and others as required.
- Responsible for enforcing museum guidelines onsite to preserve and protect the building and artwork and ensure all production is completed safely.
- Analyze event trends, peer benchmarks, audience reach, shortcomings, and successes to support increased event growth year-over-year.
- Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
- Ability to work onsite and maintain flexible hours, including evenings, overnights, and weekend hours.
- Ability to lift at least 20 lbs.
