The College of Health and Public Service (HPS) at the University of North Texas, distinguished as one of the few Tier One research universities designated as a Hispanic-Serving Institution (HSI), prepares graduates to address diverse and complex social issues such as aging, disability, disaster management and recovery, criminal justice, health disparities, and public safety, and find solutions to challenges in public administration, public health, and urban design. Located within HPS, the Department of Emergency Management & Disaster Science (EMDS) offers the nation’s first bachelor’s degree program in Emergency Administration and Planning and a master’s degree in emergency management and Disaster Science. With eight faculty and one staff member, the department aims to advance disaster science and practice through high quality collaborative research, an evidence-based curriculum, and meaningful engagement with the scholarly and practitioner communities.
Position Overview
The Senior Administrative Specialist in the Department of Emergency Management and Disaster Science (EMDS) is responsible for overseeing the full range of activities in the main office. The person in this position ensures the orderly and efficient implementation of all office procedures and exudes professionalism in all interactions. This position provides staff support to faculty, students, alumni, and all other internal and external constituents and stakeholders.
Minimum Qualifications
Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training

Advanced Microsoft Office skills.
Knowledge of accounting/budgeting procedures.
Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.

Job Duties:
- Coordinates the operations of the EMDS department office and Emergency Operations Center Lab including: Answers telephone, greets visitors and students, relays/records messages. Organizes/assigns/trains/supervises the work of student assistants. Performs administrative functions for the department chair. Provides oral/written interpretations of policies procedures, including recommendations for implementation of changes. Observes safety security precautions appropriate for work performed. Makes sure office is opened and closed on a daily basis.
- Composes and initiates correspondence and develops forms to ensure efficient operations within the department. Responds to email inquiries relating to the department in an efficient and timely manner. Oversees mail and shipping (incoming and outgoing) ensuring timely distribution. Updates website and social media accounts. Assists with newsletter production. Maintains mailing lists for current students and alumni.
- Coordinates arrangements for conferences, programs and special events, including travel and reimbursements.
- Independently monitors all financial accounts to include lab course fee account and expenditures associated with the operations of the lab and EMDS expenses by preparing a spreadsheet on a monthly basis for the department chair and lab coordinator. Assists with purchasing and procurement for departmental and grant-related needs.
- Gains working familiarity with relevant university policies. Keeps apprised of policies, procedures and relevant deadline schedules through participation in university offered training.
- Academic responsibilities include assisting with various aspects of instructor evaluations, grade reports, class roll audits, grade changes, adding/deleting classes, maintaining instructor of record syllabi, textbook orders, course scheduling, submitting course/room requests and fielding student questions.
- Prepares and processes HR documents and systems for all onboarding, offboarding, payroll, and time keeping as required by the department.
- Assists program coordinators and chair with scholarship accounts.
