Primary Responsibilities:The Warehouse Administrative Assistant will work alongside our Director of Operations and Human Resources manager on various projects and reports that capture our daily operations efforts. Knowledge of Microsoft Excel is highly preferred.
Our Miami facility is one of fourteen distribution centers strategically located throughout our nation and parts of Canada that provide natural, organic, specialty, and gourmet products to our customers.
The Warehouse Administrative Assistant plays a critical role in the daily operations of our business. They provide administrative and operational support, assist in the development of policies and procedures, and are responsible for maintaining records and documents. While the job duties can vary, a successful Operations Assistant must possess excellent organizational, communication, and problem-solving skills.
Spanish language fluency preferred.
Essential Functions:- Greet guests and field outside sales representative inquiries
- Maintain reports and tracking for referral programs
- Ensure employees are enrolled in the time & attendance system and properly use our timeclocks
- Runs time keeping reports and will partner with department managers for any errors or concerns
- Manage security building access and system preparation for annual audit
- Manage travel arrangements, schedule meetings and coordinate calendars for DC leadership
- Coordinate event and meeting preparation and planning
- Coordinating and managing day-to-day office and operational processes including shipping, maintaining records, and processing invoices and expenses
- Maintaining records and documents related to operations
- Must have a High School Diploma or GED with a minimum of 2 years of related experience in administrative roles
- Knowledge of Microsoft Excel
- Spanish fluency preferred
- Willingness to learn Dayforce, experience in UKG a plus
- Willingness to partner with local HR team on employee engagement and to assist with employee concerns
