Position Overview
Scholarships Manager is responsible for the administration of state grant programs, institutional scholarship programs, restricted funding, and processing of financial aid for students receiving employee benefit or NCAA athletic aid.
Essential Functions
- Award aid to students receiving tuition benefits: includes budgeting, packaging, posting federal, state, institutional aid and/or outside scholarships. Develop knowledge of HR policies regarding tuition benefit and adhere to the applicable University standards for awarding employee assistance
- Award aid to student athletes: includes budgeting, packaging, posting federal, state, institutional aid and/or outside scholarships. Develop a thorough knowledge of and adhere to the applicable NCAA, Conference, University and department rules and regulations. Upon recognition of any NCAA violation report the violation to Director of Athletics or Financial Aid Director. Attend NCAA/Athletic meetings as required.
- Awarding and tracking eligibility for merit scholarships, Quest Whole Person Scholarship program awards, service scholarships, and departmental talent awards. Notifying students of potential ineligibility, jointly working with the various departments (APA, Chaplain, RA, Music, Drama, Art, Dance, Oracle) to reconcile awards with their budgets.
- Awarding and tracking eligibility for state grant programs (currently Oklahoma and Vermont). Adjusting aid packages following semester add/drop deadline to accurately report the hourly rate for Oklahoma’s Promise awards. Notifying students of potential ineligibility, submitting semester enrollment certification rosters, and coordinating disbursement with Student Accounts Office.
- Process all outside scholarship checks received in the Financial Aid Office or in Student Accounts, ensuring that finances received from outside organizations are properly processed and recorded as resources for the students involved.
- Reconciling Tuition Benefits and athletic aid to cover eligible charges each semester. Completing reports as requested for HR or Athletic audit teams
- Visit with parents/students referred by the Student Service Group regarding in-depth questions about their scholarship as well as Athletes. Includes appointments with students, calls routed from the Student Service Group, and any emails received.
- Scan and file student financial aid folders, documenting tracked records of financial aid matters for students such as TB Forms, athletic grant-in-aid forms, restricted scholarship applications/approvals, outside scholarships received, and all documents covering financial aid matters for individual students.
Qualifications and Competencies
Knowledge & Experience
- Bachelor’s degree preferred.
- Requires a minimum of two years of experience in a financial aid or student services setting or educational equivalent

- Must have the ability to deal with persons experiencing stress related to financial matters effectively while maintaining a professional posture at all times.
- Must be self-motivated and have the ability to effectively balance/prioritize multi-tasks in the midst of a high-paced office environment.
- Must be detail orientated, and have excellent data entry and mathematical skills.
- Requires excellent mathematical, spelling, grammar, reading, verbal & written communication, and interpersonal skills.
- Must be able to effectively deal with persons from a variety of cultural backgrounds.
- Must be able to read and understand federal regulations and guidelines as they apply to federal student aid.
- Must be adaptable and able to adjust to a rapidly changing administrative situation.
- Must have proven ability to maintain an eye for details under stressful conditions associated with project deadlines and a busy office environment.
- Must be able to meet mandatory deadlines imposed and prescribed by the Federal Government.
- Must be computer literate with accurate keyboarding skills. Must be able to learn the Banner student system used in the daily processing of student information, software used in processing loans to guarantors, and web-based programs associated with the downloading of information from the Department of Education. Familiarity with Microsoft Excel and Word applications preferred.
- Must maintain a high level of confidentiality of information.
- Maintains compliance with the Family Educational Rights and Privacy Act (FERPA) policy and its’ procedures.
Physical & Environmental Demands
Physical and environmental demands will include but not be limited to the following:
- Sitting, standing, walking, bending, twisting of upper body, repetitive motion, reaching, pushing/pulling, occasional lifting of up to 25 lbs., and manual dexterity for operation of office machines/equipment. Vision to include: near, far, color, depth perception, and visual accommodation. May be exposed to a high noise level at times. Must be able to hear clearly and distinctly.
Additional Information
Travel: Occasional out-of-town travel, air and ground, and occasional use of personal vehicle will be required. Vehicles are available through the University motor pool with advance notice. The ability and willingness to travel and work occasional nights and weekends is required.
