Summary - basic function of the role
The Sales Operations Specialist supports the assigned Branch location and/or vertical market, will be responsible for supporting outside salesmen and occasionally be the contact person handling all walk-in customers. The incumbent responds to customer questions, identifies up-selling opportunities, setting customer meetings, closing orders. They build rapport with customers by probing for needs and recommending appropriate solutions. Success is measured by achieving monthly, quarterly, and annual sales objectives, while ensuring the optimum customer experience and satisfaction.
Shift: Monday - Friday, 9am - 6pm CST, evenings and weekends may be required
Job Duties and Responsibilities
- Maximize gross margin sales through careful analysis during the quote process.
- Build sustainable relationships and trust with customer accounts through open and interactive communication.
- Support the outside sales team to meet or exceed all monthly, quarterly and annual sales goals by processing quotes that are assigned by the outside sales team or by direct customer request.
- Seek to better understand every customer's business needs, requirements and expectations in order to provide best possible solution.
- Identify and act on all commercial opportunities by accurately analyzing and determining customer needs, qualifying opportunities, and completing the sales cycle through an active bid follow-up process.
- Ensures internal and external customer satisfaction by effectively managing the order process from initial point of contact to Delivery.
- Enter, update and maintain detailed and accurate records and order documentation.
- Support all commercial opportunities by providing administrative support and coordinating all pre-sale activity with relevant entities:
- Externally between the Customer and the Commercial Team
- Internally between the Commercial Team, Technical Services, Product Operations, Asset Management, and Finance.
- Provide accurate product information, availability & pricing, delivery timelines and specifications and payment terms; Learning new product and procedure information as required.
- Create Input/Enter, Submit, File and Maintain quotations, contracts, orders, invoices and/or other various files and records.
- Proof, review, or fact-check all records, documents, and customer communication for accuracy.
- Maintain knowledge of current product pricing learning new product information as required.
- Provide Commercial Team with additional sales support as necessary.
- Establish, maintain and enhance all inter-departmental relationships.
- Support all regional commercial strategies by coordinating larger or more complex projects with commercial management team as required.
- Answer customer inquiries in a timely manner; via phone and email.
- Complete billing in a timely manner.

- Exceptional phone and interpersonal skills with ability to communicate effectively (written/oral) with diverse group of business partners: Customers, Executives, Management, Co-workers, Vendors and Suppliers
- Computer skills include knowledge of Microsoft Windows software suite (Outlook, Excel, Word, etc.) and company business ERP system
- Knowledge and experience in Oil & Gas and Industrial industries is preferred
- Strong presentation and problem-solving skills; Negotiation skills are preferred
Education and Experience
Associate degree in business, sales, or a similar field, Bachelor's degree preferred; or 5 or more years Sales, Sales Support or Customer Service; or equivalent combination of education and experience.
Physical Demands
Employee may have to lift documents/work materials up to 30 pounds in weight. Employee may have to lift tools up to 100 pounds in weight. Employee will have to be able to walk/climb to a variety of primary work locations, including traveling by air/auto to remote sites. This can include occasional ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like. Employee will need to listen, understand, and speak with team members in person, telephonically, and electronically at all levels within a diverse workforce and with supported organizations. Employee can work in front of a personal computer and telephone for long periods of time. Will have repetitive motions that include the wrists, hands, and/or fingers.
Work Environment
Primary work environment is temperature-controlled office setting or a typical warehouse environment but may also be visiting different customers where following appropriate safety protocols at the location would be required. While in the warehouse or visiting customers, employee may be exposed to high/low temperatures, outdoor elements (such as precipitation and wind), high levels of noise, hazardous conditions, poor ventilation, small and/or enclosed spaces, or adverse environmental conditions.
