About the Job
Willamette Valley Vineyards, a leading producer of world-class wines, is seeking an energetic, team player, and customer-focused individual to join our Administrative team at our Estate winery in the Salem Hills.
Receptionists handle a wide range of administrative and executive support related tasks, working independently with little or no supervision. Responsible for relaying incoming telephone calls, faxes, and mail. Greets visitors and guides them as appropriate.
Primary Job Responsibilities/Essential Functions
- Answers multi-line telephone system, takes accurate messages, and transfers telephone calls to the appropriate person in an efficient manner.
- Greets and screens incoming visitors in a professional manner and promptly notifies appropriate people of their arrival.
- Monitors the info@wvv.com email and directs emails to the appropriate person.
- Makes reservations using Tock reservation system.
- Provides customer service via PureChat (or other customer service chat software) on website.
- Create and type correspondence and memorandums in proper format.
- Work efficiently with all departments of the company to ensure optimal customer service levels are being achieved and maintained.
- Prepares outgoing mail using postage meter.
- Prepares bank deposits.
- Maintains an adequate office supply inventory and orders additional items as needed.
- Manages the WVV Master Calendar accepting appropriate invites.
- Continually enhance knowledge of WVV’s products, varieties, appellations, markets, customers, competitors, and opportunities.
- Monitors PIC/Emergency phone during regular business hours.
- Responsible for contact cards being collected, entered. These are collected in all the Tasting Rooms, off-site events, Demo Team and National Sales.
- Schedule and set up meetings on-site as directed by Managers.
Requirements
Must be able to
- Lift 40 pounds.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Communicate through active listening skills and gather accurate insights to human behavior.
- Sit for long periods of time.
- Support company’s effort to create a more sustainable, cross-cultural, and “green” environment.
- Support Retail Department by updating and documenting customer contact and credit card information in POS system.
- Supports our Wine Ambassador sales efforts.
- Performs other duties as assigned.
Must have
