THE POSITION
These are your key tasks:
- Manages entrance intercom, receives guests and organizes catering for meetings
- Operates switchboard in English, Spanish and French and forwards call to specific agent
- Checks the quality of general cleaning and coordinates additional day cleaning activities
- Negotiates contracts for various demands such as caterings, office supplies, cleaning, plant service, coffee service etc. issues the contract and follows up on the delivery
- Works with a functional meeting room booking system and delivers the hospitality service levels
- Works closely with Safety and Security department on access regulations and processes
- Works closely with the building management to address and resolve any tenant issues in a timely manner
- Actively improves processes to become efficient and client oriented
- Supports in all Facility Management and Hospitality processes at Premise in Coral Gables for FIFA Corporate Office (Total of 1 floor with 100 work stations)
- Supports in any physical alterations of premise (Infrastructure, furniture, paint, carpet etc.)
- Supports the implementation of sustainable solutions in regards to cleaning, waste management and recycling and energy saving measures

- Background in Business Administration, Reception and or any other related areas
- At least 5 years experience as a Receptionist/Admin Assistant
- Practical experience in international companies is an advantage
- Experience in the Sports industry is an advantage
- Written and spoken English and Spanish, spoken French
- Proficient in Word / Outlook / Excel / Visio
- Digitally savvy for applications such as room booking system, floorplan software, ticketing tool (ServiceNow)
