Job Description
JMA Solutions, a dynamic, thriving management services firm with headquarters in Washington, D.C., is looking for a Receptionist/Administrative Coordinator to ensure the efficient operation of the offices. This position requires being onsite every day.- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Performs data entry and filing.
- Retrieves information as requested from records, email, minutes, and other related documents
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules meetings and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Maintains the system for recording expenses and the use of petty cash.
- Reviews mail and distributes to appropriate parties.
- Maintains office calendars
- Schedules conferences rooms and ensures they are in a state of readiness for upcoming meetings, as directed.
- Remains on stand-by during meetings, as directed, to address any technical issue or malfunction with phone calls, computer, and virtual call platforms.
- Assists with invoicing
- Sends monthly birthday cards to employees celebrating a birthday within that month.
- Makes authorized purchases with company credit card, including flowers, food and beverage orders, recognition plaques and awards, stamps, etc.
- Ensures receipts are provided to accounting
- Deposits checks
- Performs other clerical tasks, as required.
Job Requirements
Requirements:- High School Diploma or GED Equivalent
- Bachelor's or Associate's Degree preferred
- Minimum of two years of prior experience as a receptionist or administrative assistant
- Proficient in Microsoft Office Suite or related software
- Proficient in Basic Windows Navigation
- Proficient in Virtual Meeting Platforms such as Zoom, Microsoft Teams, Google Meets and Webex.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
