POSITION OVERVIEW:
We are seeking a motivated individual to serve in a dual role as both the primary point of contact for answering phones and routing calls, as well as handling accounts payable responsibilities. This role requires strong organizational and communication skills, along with attention to detail in financial operations.
KEY RESPONSIBILITIES:
Receptionist Duties:
- Answer and route incoming calls to appropriate departments and personnel.
- Serve as the first point of contact for customers, vendors, and other callers.
- Provide accurate information and excellent customer service.
- Manage and update phone directories and call routing systems.
- Assist with general office tasks as needed.
Accounts Payable Duties:
- Verify accounts payable invoices for accuracy and completeness.
- Process payments to vendors in a timely manner.
- Reconcile accounts payable statements and ensure accounts are up to date.
- Research and resolve invoice discrepancies.
- Generate periodic reports related to accounts payable, including monthly use tax reports.
- Respond to inquiries from vendors and internal staff regarding payment status and discrepancies.
QUALIFICATIONS:
- Ability to use enterprise-level financial record-keeping software systems, spreadsheets, and email applications.
- Strong organizational and time management skills to manage both receptionist and accounting tasks.
- Ability to work independently as well as part of a team.
- Good problem-solving skills with attention to detail.
- Previous experience in accounts payable is preferred.
- Excel experience is a plus.
