Job Title: Purchasing Support Personnel
Hours: Mon-Thurs 7AM to 5PM

This role is essential in ensuring the smooth operation of our purchasing processes by handling purchase orders, managing receiving transactions, and supporting invoice and order matching activities. The ideal candidate will be comfortable working with ERP systems and have strong attention to detail in handling purchase orders and supplier coordination.

Key Responsibilities:
- Key Purchase Orders (POs): Enter and manage purchase orders in the ERP system with accuracy and timeliness.
- Process Receiving Transactions: Ensure all received goods are properly logged into the ERP system upon delivery.
- Print and Manage PO Documentation: Print hard copy purchase orders for management signatures.
- Invoice Matching: Review supplier invoices and match them to purchase orders to verify correct pricing and ensure consistency.
- Filing and Record Keeping: Maintain organized and up-to-date files for all purchasing documents, including POs, invoices, and receiving records.
- Product Inspection and Verification: Check off moulding and drawer parts upon receipt, ensuring the items match what was ordered in terms of quantity and specifications.
- Communication: Collaborate with suppliers and internal teams to resolve any discrepancies in orders or invoices in a timely manner.
- Excel Spreadsheets: Updating existing pricing sheets & order templates.
- High school diploma or equivalent; additional education in business administration, supply chain, or a related field is a plus.
- Experience with ERP systems and purchase order processing.
- Strong attention to detail and organizational skills.
- Ability to work effectively with suppliers and internal teams.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Basic knowledge of purchasing and inventory processes preferred.
- Ability to multitask and manage time efficiently.
- Strong communication skills, both written and verbal.
- Problem-solving skills and ability to resolve discrepancies quickly.
