REPORTS TO: Strategic Assistant
SALARY RANGE: $60,000 to $70,000, depending on experience
EMPLOYMENT STATUS: Full-Time, W-2 position
LOCATION:Remote, US-based only
Hours: Must be able to work Monday through Friday, 8 am to 5 pm MST

POSITION OVERVIEW:
We are looking for a resourceful self-starter with an operational mindset and entrepreneurial spirit. The Project Coordinator is responsible for session coordination and virtual production of programs. The role is to be one of the lead contacts for all interactions with designated client partners to develop a trust-based relationship and to generate revenue.
The Project Coordinator will be responsible for the execution of in-person and virtual, domestic, and international Verus Global programs. This individual will have a keen understanding of the unique experience we deliver, ability to engage across multiple concurrent projects and create human-centered processes to ensure high quality.
KEY RESPONSIBILITIES:
Lead and manage all domestic and international session related logistics including materials management, shipping, and session related communications to clients. Partnering with clients to align on meeting space, audio visual, session configuration, food and beverage, and client specific material procurement.
Ensure that all client-facing programs are delivered on time and meet or exceed client expectations.
Collect feedback from clients and internal teams to refine and improve program offerings and the overall client experience.
Manage logistics for virtual engagements to include setting up virtual meeting space and invites.
Partner with facilitators during virtual sessions with moderation and production of polls, breakout rooms and file sharing.
Manage webinar and meeting recordings and support facilitator in post-session email follow up.
Manage registrations in our Learning Management System (Mobilizer - a Thought Industries product and any future LMS).
Compile program evaluations, assessments and completion reports from a CSV to a presentation using pivot tables.
SKILLS & EXPERIENCE:
Bachelor’s degee in Business, Project Management or other related and applicable field.
2-4 years of experience of administrative management inclusive of operations, meeting planning, and logistics management, preferably in a learning and developmement environment.
Experience with L&D and a Certification Model Trainings strongly preferred, but not required.
Proven problem-solving agility, while able to adhere to standard operational procedures and deadlines.
Ability to work autonomously, manage priorities and take initiative.
Strong project management skills, preferably logistics.
“All-in” team player capable of working cross-functionally.
Experience in an organization with the customer intimacy mindset is preferred.
Must have excellent organizational skills, detail oriented, and be able to perform repetitive tasks with extremely high accuracy.
Proficient in Microsoft Excel, and other Microsoft Office Suite products including Outlook and Teams.
Proficient in HubSpot, Asana, Mimeo (or similar printing and shipping platform), Datto Workplace (or similar cloud-based server), Zoom or similar voice-over IP phone system and webinar platforms.
