Purpose and Scope:
We are seeking a highly organized and proactive Project Coordinator to support our leadership team. The successful candidate will play a critical role in ensuring the smooth operation of day-to-day activities, managing schedules, and acting as a liaison between the leadership team and internal/external stakeholders. This is an exciting opportunity for an individual who thrives in a fast-paced environment and is adept at handling a wide range of administrative and executive support tasks.
Essential Job Responsibilities:
+ Executive Support: Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
+ Communication Management: Handle phone calls, emails, and other forms of communication on behalf of executives, prioritizing requests and ensuring timely responses.
+ Meeting and Event Coordination: Organize meetings, conferences, and events, including scheduling, preparing agendas, taking minutes, and following up on action items and onsite (e.g. ALSC) support when needed.
+ Travel Coordination: Book and coordinate all travel arrangements, including flight, hotel, and transportation, as well as Concur management.
+ Office Management: Oversee office supplies, equipment, and other administrative needs to ensure smooth office operations.
+ Project Assistance: Provide support on special projects and tasks as requested by the executive team.
+ Confidentiality: Handle sensitive information and documents with discretion and in compliance with company confidentiality policies.
Qualifications:
Required
+ Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
+ Experience: At least 5 years of experience as a project coordinator, an executive or administrative assistant, or a similar role supporting leadership.
+ Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as familiarity with other productivity tools (e.g., Google Workspace, project management software).
+ Strong Organizational Skills: Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines.
+ Communication Skills: Excellent verbal and written communication skills, with a professional and approachable demeanor.
+ Problem-Solving: Strong ability to anticipate needs, troubleshoot issues, and offer solutions independently.
+ Attention to Detail: High level of accuracy and attention to detail in all aspects of work.
Salary Range
$75k-$95K (NOTE: Final salary could be more or less, based on experience)
