About the Job
The Project and Vendor Coordinator position will support our Marketing and Program Lead. Responsibilities include coordinating the administration of the organization's marketing efforts, building and facilities requests, contract planning, fleet of motor vehicles, and internal auditing projects. Duties may also include compliance with city, county, state, federal, customer, and partner rules/regulations.
Essential Functions:
- Assist with contract tracking structure and proactive planning
- Support marketing projects and tasks including;
- Minor website copy updates
- Organize and gather company newsletter stories
- Social media posts
- Tradeshow preparation
- Digital signage updates
- Day to day requests from branches
- Assist fleet team with company vehicle tasks and annual vehicle projects including:
- Vehicle orders, terminations, transfers, and registration renewals
- Day to day requests from branches
- Fuel card management
- Invoice preparation and review
- Assist with annual vehicle insurance audit and insurance claims.
- Coordinate and assign building maintenance requests and tasks
- Support company travel program
- Support compliance and information gathering initiatives (i.e. internal audits)
- Maintain comprehensive and accurate records
- Perform minor accounting duties
Qualifications:
- 1-3+ years of experience required
- Bachelor's degree or equivalent experience
- Outstanding organizational and time management skills
- Strong interpersonal skills
- Discretion and confidentiality
- Proficient with Microsoft Office Suite
- Social media experience preferred
- Excellent written and verbal communication skills
- Creative and organized problem-solving skills
- Ability to handle several simultaneous projects and be deadline oriented
- Some business travel may be required (less than 10%)
This is an onsite position working typically Monday through Friday day shift.
