We are seeking a detail-oriented Project Coordinator to support our team with assigned projects and administrative tasks to ensure smooth and efficient project operations. This role involves tracking project deliverables, monitoring deadlines, and providing regular updates to management. The ideal candidate will be organized, proactive, and comfortable in a fast-paced environment, with the ability to handle multiple tasks and support a variety of project coordination needs.
Responsibilities
- Update tracking systems to ensure project and program status is accurate, including third-party management systems.
- Create and distribute relevant correspondence for the team, project, or program, including internal and external communications.
- Assist with preparation for meetings, including creating agendas, preparing materials, and distributing minutes.
- Communicate issues to management promptly to prevent them from reaching critical status.
- Provide ad hoc reports as requested.
- Provide additional administrative support to the team as needed.
- Issue vendor purchase orders (POs) and monitor property assignments and task completion.
- Complete "No Zoning" and "No Permit" letters and determinations.
- Support activities related to permit extensions, renewals, and general contractor name changes.
- Assist with vendor management tasks, including PO management, invoicing, and aging reports, acting as a liaison between specialists, Accounts Payable, and vendors.
Qualifications
- High school diploma or equivalent required.
- Associate's degree or equivalent work experience is preferred.
- 1-3 years of experience in a business environment with a focus on project coordination and/or administration.
Skills
- Proficient in Microsoft Office with the ability to learn various tracking and project management software.
- Strong organizational and administrative skills.
- Excellent interpersonal and communication skills.
- Ability to adapt and problem-solve in a dynamic environment.
- Strong multitasking abilities in a fast-paced setting.
- Customer-service oriented with a proactive problem-solving approach.
Additional Details
The base range for this contract position is $20 - $26/per hour, depending on experience. Our pay ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hires of this position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Qualified applicants with arrest or conviction records will be considered.
