About the Job
We are seeking a detail-oriented and proactive Project Controls Specialist to support the planning, execution, and continuous improvement of our EV charging project portfolio. Reporting to the Sr. Manager of the PMO, this role is instrumental in maintaining accurate portfolio data, ensuring alignment with organizational objectives, and fostering collaboration across teams. The ideal candidate will possess strong analytical, organizational, and communication skills, with the ability to manage competing priorities in a fast-paced environment.
Responsibilities
Portfolio Data Management
- Maintain and update project schedule data, including timelines, milestones, and status changes, to reflect the latest project developments.
- Ensure accurate data entry into internal systems to support seamless project tracking and reporting.
- Collaborate with cross-functional teams to collect and validate data for key performance indicators (KPIs).
Performance Monitoring & Reporting
- Develop and maintain dashboards to provide clear, actionable insights into portfolio performance.
- Monitor and report on KPIs related to schedule, budget, and risk metrics, providing regular updates to senior management.
- Conduct variance analysis to identify deviations from baseline metrics and recommend corrective actions.
Risk Management
- Track and document portfolio risks, developing risk mitigation strategies in collaboration with project managers and stakeholders.
- Create risk-assessed metrics to offer a comprehensive view of portfolio health and performance.
- Maintain a repository of risk-related data and ensure compliance with organizational risk management practices.
Process Improvement
- Identify and propose process enhancements to streamline project management workflows and improve data accuracy.
- Collaborate with stakeholders to implement process changes and ensure adoption across teams.
- Provide constructive feedback and training to teams on best practices in data management and reporting.
Administrative Support for PMO Tools
- Provide administrative support for key PMO tools, including Sitetracker and Google Forms, experience using Salesforce.
- Assist in configuring, maintaining, and troubleshooting these tools to ensure efficient use and functionality.
- Act as a point of contact for user support and training on PMO tools.
- Work with IT and vendors as needed to manage tool updates and resolve technical issues.
Compliance & Alignment
- Ensure that project tracking aligns with organizational goals, grant requirements, and funding regulations.
- Collaborate with finance, project management, and engineering teams to ensure accurate documentation for audits and compliance

Qualifications
REQUIREMENTS
- Bachelor’s Degree in Business Administration, Operations Management, Data Analytics, or a related field.
- Minimum of 3-5 years of experience in project management support, data analysis, or portfolio reporting.
- Proficiency in project management tools (e.g., Smartsheet, Salesforce, Sitetracker) and advanced skills in Excel and data visualization platforms.
- Strong organizational and analytical skills with exceptional attention to detail.
- Excellent communication and interpersonal skills, with the ability to work effectively across teams.
- Demonstrated ability to prioritize tasks, meet deadlines, and adapt to a dynamic work environment.
PREFERRED
- Experience in the EV industry or construction project management.
- Familiarity with risk management practices and methodologies.
- Knowledge of government funding requirements and compliance related to infrastructure projects.
