POSITION OVERVIEW:
We are looking for a bright, energetic, team player! The primary responsibility of a Project Administrator is to assist the Project Manager and Superintendents working on construction projects. Duties include, but are not limited to, document formatting and preparation and in-field administrative project-related needs.
RESPONSIBILITIES:
Project Life Cycle Support:
- Assist Project Manager with duties related to startup, ongoing, and closeout processes.
- Prepare and distribute subcontractor proposals and subcontracts as directed by Executives and Project Manager.
- Prepare meeting minutes and distribute to appropriate project team and external stakeholders/clients.
- Assist Project Manager and Superintendent with the closeout process and assemble closeout documents.
- Manage permitting process, revisions, inspections, permit conditions, etc.
- Prepare and follow up on monthly pay applications to architect, owner, and/or lenders, ensuring compliance with funding guidelines and deadlines.
- Prepare and submit job specific related documents, as needed.
- Manage the direct material purchase (DMP) process for tax-exempt clients.
- Maintain project files electronically, coordinating with other departments to ensure organized documentation.
- Assist with safety committee, as needed.
- Assist with field office setup
- Collaborate with the PM and Accounting Department to ensure cost codes are correct.
- Schedule and attend project meetings as required and prepare and distribute meeting minutes.
- Prepare and distribute owner and subcontractor change orders.
- Understands his/her contribution to achieving the five-year strategic plan and the annual plan.
- Understands and operates under the company’s SOP’s at all times.
- Other duties as assigned.
QUALIFICATIONS:
- High school diploma or equivalent; additional education or certification in project administration is a plus.
- Proven experience as an Project Administrator/Coordinator or in a similar support role.
- Proficiency in office software (Microsoft Office Suite, OneDrive, Outlook, Procore, and Accounting Software, etc.) and comfortable with learning new tools and software.
- Strong written and verbal communication skills.
- Excellent organizational and time management abilities.
- Attention to detail and accuracy in all tasks.
- Strong multitasking skills and the ability to prioritize effectively.
- Professional demeanor and excellent interpersonal skills.
- Problem-solving skills and the ability to adapt to changing situations.
- Discretion and understanding of the importance of confidentiality.
