HJF is seeking a Program Assistant to assists the Program Manager with administrative project oversight to ensure maximize and effective use of logistics resources and assets. Assist departments with property and asset accountability, quantitative data collection, space management, and work order request. Works on problems of moderate and intermediate scope, applying an intermediary level understanding of organizational objectives, and navigating DMLSS application. Performs general tasks include preparing reports, meeting minutes, spreadsheets and presentations. Position does not approve financial decisions and does not supervise federal civilian employees.
This position will be in support of Office of the President, Logistics Department at Uniform Services University.

Responsibilities:- Assist the team leader with special projects and initiatives, including reviewing work, providing guidance, and establishing a working relationship with each logistic branch. Provides policy guidance and implements procedures and protocols to enhance efficiency and effectiveness of programs
- Assist with developing and managing program plans from inception to deployment, applying project management methodology and enforcing best practice standards.
- Monitors program actions including budgets, purchasing, and hiring activities. Works with project stakeholders to ensure detailed business and technical requirements are defined to ensure success in program.
- Monitors maintenance BPA, equipment inventory, receipt and control of all medical/lab equipment monitor recall to meet compliance with regulations and adherence to timelines. Forecast and initiate budget requirements for meeting inventory equipment standardization and logistic special projects
- Interacts with project stakeholders by facilitating information flow as a liaison between research staff, Principal Investigators, project sponsors, research administrators, HJF Program Operations. Assists in the administration of agreements and contracts compliance within logistic branches. Develops and maintains standard operating procedures, maintains and disseminates policies and obtains feedback for continual process improvement.
- Maintains and updates databases and spreadsheets as needed
Education and Experience
- Associate’s Degree required; Bachelor's degree preferred.
- Minimum of 6-8 years experience required.
Required Knowledge, Skills and Abilities
- Knowledge of organizational objectives, the federal budget process, and office automation.
- Ability to work completely independently, use sound judgement in solving problems and coordinate many complex systems and programs simultaneously.
- Knowledge of project management principles, and good communications, customer/client relationship skills and people management experience.
- Ability to obtain and maintain a T1/Public Trust background check.
Physical Capabilities
- Lifting: Requires lifting materials up to 10 lbs.
- Ability to stand or sit at a computer for prolonged periods.
Work Environment
- This position will take place primarily in an office setting.
Compensation
- The hourly range for this position is $27.72-$42.07. Actual hourly pay will be determined based on experience, education, etc.
