Production Coordinator
Overview of Job Function:
We are seeking a skilled and detail-oriented Production Coordinator with a minimum of two years of experience in the advertising or entertainment industry to join our creative team. In this role, you will play a key part in supporting the production of advertising campaigns, ensuring projects run smoothly from concept to execution. The ideal candidate is organized, resourceful, and has a passion for the fast-paced world of advertising production.
Responsibilities:
- Point of contact for production team members.
- Update and distribute weekly Production Status Reports.
- Assist with location sourcing and renting for upcoming shoots.
- Organize and code receipts for monthly reconciliation reports.
- Set up meetings.
- Data logging.
- Asset tracking.
- Own the organization, setup, and operations of AirTable.
- Organize the producer's calendar.
- Note-taking during meetings and distribution.
- Set up site visits.
- Keep files/paperwork organized.
- Attend and run production staff meetings.
- Keep the production office clean and organized.
- Distribute via mail products to potential testimonials.
- Manage e-mails and phone calls.
- Support the team by scheduling appointments, and handling contacts.
- Create and schedule conference calls with production and studio personnel through various stages of production.
- Act as the day-to-day liaison/first point of contact for Editorial and Post on all shows.
- Facilitate delivery of features including QC and approving masters.
During Production Shoots:
- Create and distribute call sheets, scripts, and shooting schedules.
- Help direct cast/crew to appropriate parking and set up areas.
- Handle cast and crew lunch orders.
- Organize craft services.
- Work with rental houses to procure the necessary equipment.
- Hire, manage, and oversee Production Assistants while on set.
- Ensure the AE has everything the client needs while on set, coffee runs, special food orders, etc.
- Work with homeowners/site owners on day of shooting to ensure internal and external parties are on the same page.
- Do final walkthroughs and take photos on set to ensure everything was returned to its appropriate location and nothing was left behind.
Qualifications:
- 2+ years of experience as a production assistant or in a similar role within the advertising or media industry.
- Ideal Candidate will have knowledge of production workflows, including pre-production, on-set, and post-production processes.
- Excellent organizational and multitasking skills, with attention to detail.
- Proficiency in production management tools and software (e.g., Google Workspace, Airtable, or similar).
- Ability to work under pressure in a fast-paced environment and meet tight deadlines.
- Exceptional communication and interpersonal skills, with a team-oriented attitude.
Preferred Skills:
- Basic understanding of video editing and graphic design software (e.g., Adobe Premiere, After Effects, Photoshop).
- Experience with budgeting and expense tracking.
- Passion for creative storytelling and advertising trends.
